Role Description

The Immigration Client Intake Specialist I supports the intake process for new and existing immigration cases. This role is responsible for accurately entering data, initiating case files, and assisting with basic client communication while learning firm systems and workflows. The position operates under close supervision and follows established processes. This position may be remote, but the successful candidate must reside in a state where we have a physical office.

Successful job applicants will be able to perform these essential functions with or without requested reasonable accommodations:

• Monitor intake inbox and log new initiation requests into case management systems (e.g., VisaTrax/Zoom)
• Send standard questionnaires to clients, visa beneficiaries, and managers
• Create and organize case files, including billing numbers, barcodes, and scanned documentation
• Maintain accurate draft case records and status updates
• Assemble case files and route to attorneys for initial review
• Respond to routine client inquiries using templates and scripts
• Request educational evaluations and supporting documents as directed
• Ensure data accuracy and completeness in all systems
• Follow established intake workflows and timelines
• Other duties as assigned

Qualifications

• High school diploma or equivalent required; associate’s or bachelor’s degree preferred
• 0–1 year of administrative, legal, or immigration-related experience
• Basic proficiency in Microsoft Office (Outlook, Word, Excel)
• Strong attention to detail and organizational skills
• Ability to follow structured processes and instructions

• Massachusetts: $59,500 - $77,000
• Minnesota: $50,660 - $65,560
