Role Description

Seize your opportunity to make a personal impact as an Events & Executive Support Coordinator supporting the NIH Office of Research Innovation, Validation, and Application (ORIVA). GDIT is your place to make meaningful contributions to challenging projects and grow a rewarding career.

This Coordinator will provide logistical and administrative support for scientific workshops and webinars, along with broader administrative and communications support for the program team. The Coordinator will report to the team's Communications Lead and work closely with 3-4 other teammates. While the surrounding team and client are scientists, no scientific background is required; this role is about organization, follow-through, and clear communication.

HOW YOU WILL MAKE AN IMPACT:

  • Event Coordination:
    • Coordinate logistics for scientific workshops and webinars, including scheduling, materials preparation, and day-of-event support.
    • Collaborate closely with the Communications team, audio-visual teams, and venue staff to help ensure workshops, webinars, and other program activities advance ORIVA’s mission.
    • Track multiple concurrent projects and deadlines using task management tools (e.g., Microsoft Planner), proactively flagging risks and identifying solutions to prevent delays.
    • Travel approximately 4-6 times per year to support client events, which contribute toward ORIVA’s mission.
  • Administrative Support:
    • Provide general administrative support for the Program, including, but not limited to, assisting Program leadership with scheduling, making travel arrangements, expense reporting, deliverables tracking, and development of standard practices that increase operational efficiency.
    • Track the status of ongoing projects and tasks, proactively following up with team members and the client when items are at risk of missing deadlines.
    • Maintain accurate records related to events, communications, and project timelines.
    • Provide additional administrative and operational support to other team members and functions as time and priorities allow.
  • Communications:
    • Draft and send professional, policy-compliant email responses to public inquiries, in accordance with NIH communication guidelines.
    • Revise documents to ensure they meet accessibility standards (e.g., PDFs, Word docs, PowerPoint decks) prior to publication on government websites.

Qualifications

  • Bachelor's degree in relevant fields including, but not limited to, Public Relations, Public Health, Public Administration, Communications, Biology, Chemistry, Toxicology, and Biomedical Engineering or the equivalent combination of education, professional training, or work experience.
  • 2+ years of professional experience.

Requirements

  • Experience with or willingness to support executive assistant-style functions such as scheduling, travel coordination, and expense reporting.
  • Able to follow established processes while proactively identifying creative, more efficient ways to get things done, including exploring use of artificial intelligence tools (Copilot, Gemini, Claude).
  • Comfort working with government stakeholders and adhering to established communication policies.

Benefits

  • Comprehensive benefits and wellness packages.
  • 401K with company match.
  • Competitive pay and paid time off.
  • Full flex work weeks where possible.
  • Variety of paid time off plans, including vacation, sick and personal time, holidays, paid parental, military, bereavement, and jury duty leave.
  • 15 days of paid leave per calendar year to be used for vacations, personal business, and illness, plus an additional 10 paid holidays per year.
  • Paid Family Leave program provides a total of up to 160 hours of paid leave in a rolling 12-month period for eligible employees.
  • Short and long-term disability benefits, life, accidental death and dismemberment, personal accident, critical illness, and business travel and accident insurance.
