[Hiring] Book Distribution Agreements Coordinator @Room to Read

Role Description

Room to Read seeks a contractor to complete distribution agreements for our Indigenous Book Collection and follow up on outstanding partner reports for the 2025 Peace & Equality Book Collection. The contractor will communicate with partners, finalize agreements, obtain signatures, and maintain accurate records.

Scope of Work

• Weeks 1–2: Indigenous Book Collection agreements
  • Complete a brief training on the agreement review process
  • Contact prospective distribution partners by email or phone to collect the information needed for their agreements
  • Review each agreement for accuracy and completeness
  • Obtain signatures through DocuSign
  • File signed agreements in SharePoint and update status records
  • Provide weekly progress updates
• Week 3: Peace & Equality Book Collection partner reports
  • Request outstanding reports from 2025 distribution partners and track responses and follow-up

Qualifications

• Strong attention to detail and organization
• Experience in administration, contract processing, or document management
• Clear, professional communication skills and confidence following up by email and phone
• Proficiency in Microsoft Word and Excel and comfort using SharePoint
• Experience preparing, routing, and tracking signatures in DocuSign
• Ability to manage PDF files and organized electronic records
• Ability to manage a high volume of documents and follow-up tasks on schedule

• Number of agreements: 167
• Estimated time per agreement: 30 minutes
• Estimated processing time: Approximately 83.5 hours
• Anticipated start date: September 21, 2026
• Weeks 1–2: Complete Indigenous Book Collection agreements
• Week 3: Complete Peace & Equality partner follow-up
• Overall completion: Within 3 weeks of the start date

Compensation
