Role Description

Own the administration of a multi-site U.S. retail lease portfolio:

• Abstract leases
• Track critical dates
• Verify every landlord charge before it is paid
• Recover overbilled CAM and tax charges

Work Setup:

• Full-time, Monday–Friday, night shift
• Must have a computer/laptop with a webcam
• Reliable high-speed internet

What You'll Do:

• Abstract every executed lease and amendment into the lease database.
• Maintain the critical date calendar and give advance notice.
• Route and file leases, amendments, estoppels, SNDAs, and consents.
• Set up rent records at commencement and keep them current.
• Validate every monthly billing against the lease before payment.
• Manage the outsourced CAM and tax audit.
• Screen year-end reconciliations on receipt and correct errors.
• Track real estate tax bills and assessments.
• Issue and maintain certificates of insurance for every location.
• Monitor landlord obligations and notify them when unmet.
• Maintain W-9s, landlord and property manager records.
• Support franchisor and lender consent, estoppel, and reporting requests.
• Act as the day-to-day contact for property managers.
• Prepare and file TI allowance draw packages.
• Support back-charge claims and portfolio events.
• Keep the lease database accurate and produce recurring reports.
• Write and maintain SOPs, and help define, train, and supervise a future associate role.

Qualifications

• 4+ years in U.S. retail or commercial lease administration, lease accounting, or property accounting.
• Ability to read and accurately abstract U.S. shopping-center leases.
• Working knowledge of CAM and real estate tax reconciliations.
• Experience managing certificates of insurance against lease-specific requirements.
• Advanced Excel skills.
• Excellent written and spoken English for professional correspondence.
• Exceptional accuracy and follow-through.
• Preferred: a degree in Accounting, Finance, Real Estate, Business, or Law.
• Preferred: experience with a lease administration platform, e-signature tools, and an ERP/AP system.
• Preferred: experience supporting a growing portfolio or working with a U.S.-based team from offshore.
