Role Description

This role involves taking ownership of automation systems and managing key workflows in-house. The AI-Driven Operations Assistant will ensure that systems are connected, clean, and running smoothly while supporting operational tasks.

• Build, test, and maintain Zapier automations (Zaps)
• Update workflows as processes evolve
• Route data seamlessly across platforms (Typeform, CRM, G Suite, etc.)
• Create system triggers for automated status updates
• Transition third-party automations fully in-house
• Continuously audit workflows for efficiency gains
• Create and update custom funding blueprints based on client data
• Consolidate information from various sources into a structured Google Doc
• Perform basic calculations for funding assessments
• Handle data entry tasks, including onboarding and blueprint updates
• Organize and track tasks from meetings and communications
• Maintain and update Google Docs to support documentation needs
• Ensure follow-ups are completed and action items are tracked

Qualifications

• Strong hands-on experience with Zapier
• Solid understanding of how different tools “talk” to each other (CRMs, forms, Google Workspace, etc.)
• Tech-savvy and systems-minded
• Proactive problem-solver
• Detail-oriented with strong data accuracy and organization skills
• Experience with Make.com (Nice-to-Have)
• Background in marketing operations, funding, or agency environments (Nice-to-Have)
• Bilingual in Spanish (BIG BONUS)
