​Swyft, Inc. is a global leader in automated retail with more than 1,000 small self-service retail stores for 20 of the world’s largest brands and retailers including Benefit Cosmetics, CVS, iStore (Apple) & Kraft Heinz. The Executive Assistant will report to the President & Co-Founder and work directly with C-level executives. This is an excellent opportunity for an outstanding individual to join a growing company with competitive compensation. ​

Responsibilities

• Scheduling meetings, appointments, travel itineraries and events

• Coordinating executive communications, including inbound and outbound communication and interfacing with clients and business partners

• Maintaining complex filing systems and databases, document review and preparation

• Preparing, editing and distributing presentation materials

• Administration of executive expense reports

• Assisting HR on onboarding process for new hires

• Planning and managing for regular board meetings, in-house or off-site activities, including parties, celebrations and conferences
• Assist our Location Procurement team with management & monthly special reporting as well as document management

• Upholding a strict level of confidentiality

Requirements

• Outstanding English communication skills written and verbal (multilingual a plus)

• Knowledge of office administrator responsibilities, systems and procedures

• Proficiency in MS Office (MS Excel, PowerPoint, Word, in particular)

• Knowledge of CRM systems (e.g. Netsuite Financials), Google WorkSpace would be an advantage

• Attention to detail and problem-solving skills

• Strong organizational and planning skills in a fast-paced environment

• A creative mind with an ability to suggest improvements

• Bachelor’s degree preferred; additional qualification as an Administrative Assistant will be a plus
