[Hiring] Supply Chain Procurement Specialist I @Dignity Health

Role Description

The Procurement Specialist acts as a purchasing agent for the Common Spirit Health System, having authority to commit system funds by contract, procures a wide variety of supplies and equipment for multiple acute and non-acute care facilities, using accepted procurement procedures in obtaining best price and quality goods.

• Receives automated purchase requests from departments for processing and ordering of supplies.
• Resolves pricing and shipping discrepancies.
• Expedites orders and identifies substitutions and alternate sourcing for backordered products.
• Provides customer service.
• Manages procurement for diverse categories like pharmacy, capital equipment, and general healthcare supplies.
• Analyzes market trends, negotiates contracts, evaluates vendors, and collaborates with stakeholders.
• Checks purchase requisitions for proper authorization and completeness prior to acquisition.
• Initiates and maintains purchase orders, utilizing Supply Chain software system.
• Works closely with requesting departments, providing information and assistance in purchasing-related matters.
• Seeks to understand and support customer needs, concerns, and priorities.
• Identifies available sources of supply, including alternate products, in the event of back orders.
• Performs procurement functions with accuracy and competence.
• Checks order status or confirmation before close of business each day.
• Manages GHX backorder notifications ensuring all order exceptions are addressed.
• Contacts departments in the event of a critical product on back order.
• Returns all calls and emails within one business day.
• Follows department guidelines and notifies the facility Supply Chain of any variances.
• Identifies suitable purchasing arrangements for products, including contracts, blanket orders, and vendor stocking arrangements.
• Completes maintenance of Blanket and Standing orders to ensure adherence and appropriate renewal action.
• Arranges for the procurement of supplies on a pooled basis.
• Obtains emergency and rush ordered supplies in coordination with end user departments.
• Expedites and follows up on orders placed on a regular scheduled basis.
• Communicates to departments regarding price, terms, back orders, problems, and shipping.
• Processes returns and ensures vendor credits are applied timely and accurately.
• Works cooperatively and collaboratively with others toward the accomplishment of shared goals.

Qualifications

• High School Graduate or High School GED with three (3) years Supply Chain experience upon hire.
• Associates degree with one (1) year procurement experience.
