[Hiring] Vice President of Operations and Strategic Initiatives @Medrina

YDay - Medrina is hiring a remote Vice President of Operations and Strategic Initiatives. πŸ’Έ Salary: $200,000 per year πŸ“Location: USA

Role Description

The Vice President of Operations & Strategic Initiatives is a senior operational leadership position responsible for supporting the Chief Operating Officer in the execution of enterprise priorities, development of new programs and service lines, management of cross-functional initiatives, and oversight of select corporate administrative functions. This position will operate in a capacity similar to a Chief of Staff to the COO, serving as a trusted operational partner who helps translate organizational strategy into actionable workplans, coordinates initiatives across departments, removes barriers to execution, and ensures accountability for key deliverables.

Unlike a traditional VP of Operations focused primarily on direct management of regional or field operations, this position will have a broad enterprise mandate. The VP will work across clinical operations, corporate services, finance, compliance, technology, credentialing, payer initiatives, human resources, and other departments to advance strategic and operational priorities.

The position will also oversee designated administrative functions, including credentialing operations and coordination with the organization's insurance broker, while providing project leadership for new programs, partnerships, service lines, and operational infrastructure.

Key Responsibilities

  • Executive Operations & Chief of Staff Support
    • Serve as a strategic and operational partner to the Chief Operating Officer.
    • Assist the COO in managing enterprise priorities, strategic initiatives, and operational commitments.
    • Translate executive-level priorities into structured project plans, timelines, deliverables, and accountability measures.
    • Coordinate activities involving multiple departments and ensure appropriate communication between operational, clinical, financial, compliance, and administrative teams.
    • Prepare executive summaries, dashboards, project updates, decision documents, and other materials for senior leadership.
    • Track key commitments and action items resulting from executive and operational meetings.
    • Identify operational barriers, competing priorities, and areas requiring executive intervention.
    • Represent the COO in designated internal meetings and initiatives when appropriate.
    • Help create greater organizational structure, standardization, communication, and accountability as the organization continues to scale.
  • Strategic Projects & Project Management
    • Lead or coordinate high-priority projects assigned by the COO from concept through implementation.
    • Establish project scope, objectives, ownership, milestones, timelines, dependencies, and success measures.
    • Develop project charters, implementation plans, dashboards, and executive reporting tools.
    • Coordinate cross-functional project teams and maintain accountability for agreed-upon deliverables.
    • Identify project risks and escalate issues that may affect timelines, financial performance, compliance, or operational outcomes.
    • Conduct post-implementation reviews to determine whether initiatives achieved expected operational and financial results.
    • Establish repeatable project-management processes that can be used across the organization.
  • New Service Line & Program Development
    • Partner with the COO and executive leadership to evaluate, design, launch, and scale new service lines and operational programs.
    • Responsibilities may include:
      • Conducting operational feasibility assessments.
      • Developing implementation roadmaps and launch plans.
      • Coordinating financial, clinical, compliance, technology, staffing, credentialing, and billing requirements.
      • Developing workflows, policies, SOPs, and operating models.
      • Establishing staffing and organizational structures.
      • Identifying KPIs and performance expectations.
      • Coordinating pilot programs and phased implementations.
      • Monitoring early operational performance following launch.
      • Transitioning successfully launched programs to permanent operational owners.
    • Potential initiatives may include new clinical service lines, care management programs, population health initiatives, telehealth programs, clinical contact center services, RPM programs, hospital and post-acute partnerships, and other strategic growth initiatives.
  • Credentialing & Provider Administrative Operations
    • Provide executive oversight of the organization's credentialing and provider administrative infrastructure.
    • Responsibilities include:
      • Oversee credentialing and recredentialing processes for physicians and advanced practice providers.
      • Monitor credentialing timelines and identify barriers that could delay provider start dates or revenue generation.
      • Monitor outstanding applications, expirations, renewals, licenses, certifications, and other provider requirements.
      • Ensure credentialing processes support organizational growth and provider deployment.
      • Identify opportunities to improve and standardize credentialing workflows across markets and business entities.
  • Insurance & Risk Administration
    • Serve as the organization's primary operational liaison with its insurance broker for designated corporate and professional insurance programs.
    • Responsibilities include:
      • Act as the primary point of contact between the organization and its insurance broker.
      • Coordinate annual insurance renewals and information requests.
      • Maintain an enterprise insurance calendar for renewals and required submissions.
      • Coordinate information from finance, HR, legal, compliance, clinical leadership, and operations as required by carriers and brokers.
      • Assist with certificates of insurance and other operational insurance requirements.
      • Coordinate insurance requirements associated with new programs, service lines, contracts, facilities, or geographic expansion.
      • Ensure appropriate leadership is notified of material insurance or risk-management issues.
      • Maintain organized documentation related to insurance programs, renewals, policies, and broker communications.
  • Operational Infrastructure & Standardization
    • Assist in developing scalable operating processes as the organization grows.
    • Identify operational processes that are inconsistent, inefficient, duplicative, or lack clear ownership.
    • Develop standardized workflows, SOPs, reporting structures, and accountability mechanisms.
    • Establish governance structures for new initiatives.
    • Help define ownership and handoffs between corporate and field operations.
    • Support development of operational playbooks that can be replicated across markets and service lines.
    • Work with operational leadership to ensure that new initiatives can be successfully integrated into day-to-day operations.
  • Executive Reporting & Performance Management
    • Develop concise reporting for the COO and executive leadership regarding strategic initiatives and operational priorities.
    • Maintain an enterprise project and initiative tracker.
    • Establish status reporting using clear indicators for initiatives that are on track, at risk, or delayed.
    • Track milestones, owners, due dates, risks, dependencies, and required executive decisions.
    • Assist with preparation of materials for executive leadership meetings, board presentations, and operating reviews.
    • Ensure action items and decisions are documented and followed through to completion.

Qualifications

  • Bachelor's degree in healthcare administration, business administration, operations, or related field; advanced degree preferred.
  • 10+ years of progressive healthcare operations, project management, administration, or related leadership experience.
  • Experience supporting senior executives and managing complex cross-functional initiatives.
  • Demonstrated ability to develop and implement new programs or service lines.
  • Strong project-management and organizational skills.
  • Experience managing multiple initiatives simultaneously in a rapidly changing environment.
