Role Description

The Operations Specialist supports the Social Services Manager and Head of Operations by analyzing workflows, improving processes, coordinating operational activities, and preparing reports that support efficient service delivery and informed decision-making. This is a hands-on, analytical, non-management role supporting Social Services, Care Management, Onboarding & Training, and other operational initiatives as assigned. The position will work with teams serving long-term care, skilled nursing, and assisted living facilities.

Key Responsibilities

• Analyze operational workflows and identify inefficiencies, gaps, and opportunities for improvement.
• Develop, document, and help implement processes, procedures, workflows, tracking tools, and operational resources.
• Review staff utilization, facility visits, productivity, service delivery, and other operational measures.
• Pull and analyze reimbursement, utilization, productivity, and performance reports.
• Develop and maintain a working understanding of Medicare and Medicaid billing and reimbursement concepts.
• Support leadership with basic financial and P&L analysis related to service delivery and operations.
• Conduct audits of clinical and service documentation using established standards and track findings and trends.
• Prepare dashboards, scorecards, reports, and summaries for the Social Services Manager and Head of Operations.
• Help monitor service standards, operational expectations, and supervisory protocols.
• Identify appropriate opportunities to improve service utilization within existing facilities.
• Coordinate recruiting activities with HR, candidate screening, interview scheduling, and interviews.
• Support and track new-hire onboarding and training activities.
• Assist with operational projects, implementations, and process-improvement initiatives as assigned.
• Follow up on assigned action items and escalate clinical, employee-relations, or management decisions to the appropriate leader.

Qualifications

• Experience in operations, healthcare, social services, long-term care, skilled nursing, assisted living, care management, or a related environment preferred.
• Experience analyzing processes, identifying problems, and developing practical solutions.
• Strong skills with spreadsheets, reports, operational metrics, dashboards, or data analysis.
• Experience with recruiting, interviewing, or employee onboarding preferred.
• Familiarity with Medicare/Medicaid reimbursement, healthcare billing, or clinical documentation preferred.
• Bachelor’s degree preferred but not required; relevant experience and demonstrated operational ability may substitute for formal education.
• Strong organizational, analytical, problem-solving, communication, and follow-through skills.
• Ability to work independently, manage competing priorities, and collaborate across departments.

Role Scope

This position does not have direct management authority. The Operations Specialist may coordinate work, monitor processes and standards, conduct audits, and follow up on established expectations; formal hiring decisions, disciplinary action, performance management, and supervisory authority remain with designated management. This is a remote position.
