Role Description

We are seeking a detail-oriented, proactive, and highly organized Virtual Medical Receptionist to support our busy US-based Neurology clinic. This role requires excellent communication skills, strong multitasking abilities, and experience working in a fast-paced healthcare environment. The ideal candidate can effectively manage competing priorities, provide exceptional patient support, and maintain accuracy while handling a high volume of calls, referrals, and administrative tasks.

Key Responsibilities

• Appointment Scheduling
  • Coordinate and schedule patient appointments accurately and efficiently.
  • Manage appointment confirmations, reschedules, and cancellations.
  • Maintain provider schedules and optimize appointment availability.
• Prior Authorization (Medication)
  • Process medication prior authorization requests.
  • Communicate with insurance companies, pharmacies, providers, and patients regarding authorization status.
  • Follow up on outstanding requests to ensure timely patient care.
• Insurance Verification
  • Verify patient insurance eligibility, coverage, and benefits prior to appointments.
  • Document insurance information accurately within the EMR system.
  • Identify and communicate any coverage limitations or issues.
• Referral Handling
  • Receive, process, and track incoming and outgoing patient referrals.
  • Coordinate with referring providers, specialists, and insurance companies as needed.
  • Ensure referral documentation is complete, accurate, and properly attached to patient records.
  • Follow up on pending referrals to help facilitate continuity of care.
• Patient Communication
  • Answer inbound calls professionally and courteously.
  • Respond to patient inquiries, appointment requests, and administrative concerns.
  • Maintain excellent customer service while supporting a high call volume clinic environment.

Qualifications

• Minimum of 1 year of experience as a Virtual Medical Assistant supporting a US-based clinic.
• Experience with appointment scheduling, insurance verification, and patient communication.
• Familiarity with healthcare workflows, medical terminology, and EMR systems.
• Experience managing referrals and coordinating patient care is preferred.

Preferred (Nice to Have)

• Experience using eClinicalWorks (eCW).
• Previous experience supporting a Neurology practice.
• Experience working in a busy clinic environment with high patient and call volumes.
