[Hiring] Virtual Medical Assistant @Staffing for Doctors

Role Description

We're seeking a Medical Assistant to support a small, personalized concierge practice providing high-touch primary care to a geriatric, English-speaking patient population. The practice is in the middle of migrating from an existing EHR system to athenaOne, and one of the role's main focus initially is manually migrating patient data into Athena and preparing charts ahead of visits. After that initial transition period, the role shifts toward broader front-office and patient coordination support.

Strong communication skills matter as much as technical EMR ability here — this is a geriatric patient population, and many patients need extra patience, clarity, and adaptability, especially those navigating memory or cognitive challenges.

What You'll Do

• Patient Outreach & Care Coordination
  • Conduct outreach to existing patients for appointment follow-up, reminders, and care coordination — including medication reconciliation, sending records, and referrals.
  • Conduct outreach to patients on the practice's wait list to gather care goals, medical records, medication lists, and their specialist care team information.
  • Follow up with patients on results and care plans as directed.
• Authorizations & Prescriptions
  • Assist with prior authorizations.
  • Manage pending prescription refills.
• Patient Communication
  • Manage patient calls, secure messages, and callbacks.
  • Triage phone calls for potentially urgent concerns (e.g., new cough or cold symptoms, urinary tract infections, musculoskeletal injuries) using an information-gathering template provided by the physician.

Qualifications

• Strong background in athenaOne (athenahealth EMR).
• Experience working with older adult patients, primary care or internal medicine clinics.
• Excellent communication skills — patient, clear, and able to adapt to patients with memory or cognitive challenges.
