Role Description
This is a remote position. We are looking for an experienced and highly reliable Healthcare Virtual Assistant to support a new solo outpatient psychiatry practice serving both adult and pediatric patients.
The VA will function as the practice's dedicated remote front-office support and will work closely with the practice owner on the day-to-day operations of the practice. This is a high-responsibility role, and the ideal candidate should be comfortable taking ownership of tasks, communicating professionally with patients, and learning and navigating healthcare systems independently.
Because patients may be calling while experiencing emotional distress or seeking psychiatric support, this role requires someone who is compassionate, patient, empathetic, calm, and clear on the phone.
The practice uses Tebra, and the VA will be expected to develop strong hands-on familiarity with the platform and help the practice owner maintain an efficient workflow.
Key Responsibilities

Patient Communication & Front Office

Answer incoming patient calls professionally and empathetically

Make outbound calls to patients when needed

Communicate clearly with patients, parents/guardians, and healthcare providers

Handle sensitive or emotional conversations with patience and professionalism

Take accurate messages and document patient interactions

Follow up with patients regarding appointments, paperwork, insurance, and other needs

Scheduling & Patient Intake
-
Schedule, reschedule, and manage patient appointments
-
Coordinate new patient appointments and follow-ups
-
Complete and assist with patient intake
-
Collect and verify required demographic and insurance information
-
Ensure patient records and documentation are complete and accurate
-
Insurance Verification & Prior Authorizations
-
Verify patient eligibility and benefits
-
Review insurance information and identify coverage issues
-
Assist with prior authorizations for appointments and medications
-
Follow up with insurance companies regarding authorization status
-
Maintain accurate documentation of authorization requests and outcomes

Billing Support
-
Assist with posting patient payments
-
Review accounts and identify outstanding balances or issues
-
Assist with billing follow-up and denial management
-
Communicate with patients regarding billing questions when appropriate

Maintain accurate billing documentation

Future Responsibilities
-
Once the core responsibilities are established, the VA may also assist with provider credentialing and payer enrollment with major health insurance companies. Training may be provided by the client for this portion of the role.
Qualifications
-
2+ years of healthcare VA, medical receptionist, medical administrative, or similar experience
-
Strong experience handling patient phone calls

Experience with scheduling and patient intake

Experience with insurance verification

Experience with prior authorizations strongly preferred

Experience with medical billing and/or denial management
-
Tebra experience is strongly preferred
-
Behavioral health, psychiatry, psychology, or other mental-health practice experience is a strong advantage

Excellent spoken and written English

Strong attention to detail and documentation skills

Able to work independently with minimal supervision

Comfortable learning new software and healthcare workflows
