Role Description
This is a remote position. We are looking for a full-time Virtual Assistant to support a solo psychiatric nurse practitioner practice. This is a full-cycle healthcare VA role covering both patient communication and billing/insurance tasks. The ideal candidate has experience in a psychiatric or behavioral health practice, can work independently with minimal supervision, and is comfortable handling sensitive patient communications.
Strong spoken English and a professional, warm phone manner are essential, as you will communicate directly with patients, pharmacies, insurance companies, and therapists. You should also be comfortable handling messages that may involve refills or crisis-related concerns and know when to follow escalation protocols.
Key Responsibilities

Front End

Handle patient calls, messages, and scheduling

Assist with new patient onboarding

Triage patient messages, including refills and sensitive/crisis-related concerns

Communicate with patients, pharmacies, insurance companies, and therapists

Maintain accurate patient documentation in Valant
-
Back End
-
Verify insurance eligibility and benefits
-
Handle claims and EOB follow-up
-
Collect patient payments
-
Follow up on outstanding balances
-
Communicate with insurance companies regarding claims and coverage
-
Assist with credentialing and payer panel tasks as needed
Qualifications
-
Previous experience as a Medical VA, Psychiatric VA, or Behavioral Health VA
-
Psychiatric or behavioral health experience strongly preferred

Experience with medical billing, insurance verification, claims, and EOBs

Strong spoken and written English

Professional and confident phone communication

Excellent reading comprehension and attention to detail

Comfortable handling sensitive patient information

Able to work independently and manage tasks without constant supervision

Strong follow-through and organization
Requirements
-
The ideal candidate will have experience with Valant EMR and Spruce along with prior experience in a behavioral health or psychiatric practice.

Experience in this setting is strongly preferred due to the unique workflows involved, including controlled medications, refill schedules, and sensitive or crisis-related patient communications.

Candidates should also have full revenue cycle experience in a small or solo practice, with experience managing both front- and back-office responsibilities rather than working exclusively within a specialized function.

Strong spoken English is required for live communication with patients, insurance companies, and pharmacies.

This role also requires a high level of independence, organization, and ownership, as the practice operates with a very small team and minimal day-to-day supervision.
