Role Description
We’re seeking a highly organized and detail‑oriented Practice Assistant to support clinical and administrative operations across Midi Health. This is a pivotal role ensuring seamless coordination of documents, patient requests, referrals, and records management — enhancing care delivery and clinician productivity.
Core Responsibilities

Clinical Documents & Chart Management:

Receive, review, flag, and route document requests (including consult notes, disability requests, and subpoenas) to the appropriate team and channels via assigned workflows.

Ensure accurate filing in the EMR and proper follow-up action.

Administration of Phone & Messaging:

Triage inbound admin calls and messages (Athena “Admin Phone Messages”), escalate or route to appropriate team members following defined protocols.

Medical Records Coordination:

Handle incoming medical records from external providers, manage document uploads, index in EMR, and resolve missing or incomplete data.

Communicate follow‑ups to patients or providers as needed.

Coordinate Midi requests for external records.
-
Responsible for all medical records-related steps for any Midi Health SOPs that involve them.

Slack Channel Operations:

Monitor and manage Medical Records Slack requests by tagging cases, escalating urgent items, and ensuring case closure statuses are maintained following team protocols.

Referrals Processing:

Initiate, track, and confirm referrals and consult orders.
-
Coordinate between patients, referring providers, and Midi clinicians to ensure timely completion.

Track status until receipt confirmation and close the referral loop.

Post‑Visit Documents:

Perform all workflows that cover all document delivery to patients after their visit.

These workflows are the safety net from our automated process.
Qualifications

Experience in telehealth operations, medical assistant support, or virtual healthcare administration

Proficiency with EMR systems (Athena) and Slack/multiple communication platforms

Strong organizational skills with high attention to detail

Excellent written and verbal communication

Healthcare terminology and HIPAA compliance knowledge

Basic technical proficiency (videoconference tools, telehealth platform troubleshooting)
Requirements

Certified Medical Assistant Administrative (CMAA) or equivalent (preferred)

Experience handling referrals and prior authorizations (preferred)

Bilingual (e.g., English/Spanish) or familiarity with diverse patient populations (preferred)
