Role Description
We are seeking a dynamic Patient Registration Manager to lead our patient registration function within a fast-paced telehealth environment. Reporting to the Director of Billing, this role is responsible for overseeing day-to-day registration operations, ensuring accuracy, efficiency, and full compliance with regulatory standards.
This leader will play a critical role in maintaining the integrity of patient data while delivering a seamless onboarding experience for patients accessing telehealth services. The ideal candidate brings a strong operational mindset, a commitment to process excellence, and the ability to lead and develop high-performing teams in a rapidly evolving healthcare setting.
What You'll Do

Supervise daily operations of the patient registration team, including accurate patient information and insurance data entry into billing system, coverage verification and performance management.

Develop, implement, and continuously improve standard operating procedures for patient intake and registration.

Ensure registration workflows align with HIPAA regulations and company privacy standards.

Collaborate with IT, clinical, and customer service teams to streamline registration processes and resolve workflow issues.

Monitor and report on key performance indicators (KPIs) and registration metrics to identify opportunities for improvement.

Train and support registration staff in using EHR systems, CRM tools, and telehealth platforms.

Stay current on healthcare compliance, telehealth regulations, and best practices in patient data management.

Manage offshore team performance to ensure consistent operations and look for opportunities to expand workflows to the offshore counterparts.

Deliver timely performance evaluations and feedback to drive employee development and accountability.

Provides direct supervision of staff, including assignment of work tasks, coaching and general performance management.

Coaches, develops and mentors direct reports with an emphasis on building career paths for professional growth.

Administers progressive discipline, including corrective action, when necessary, to ensure high levels of job performance and compliance with company policy.

Conducts formal performance appraisals for all direct reports and develops action plans for continued development and performance improvement.

Manages payroll activities for direct reports to include timekeeping, approval for time off requests, and other administrative functions.

Qualifications

Bachelor's Degree in a related field preferred.

Minimum 5 years of experience in healthcare registration, patient services, or operations, with at least 2 years in a leadership role.

In lieu of a Bachelorβs Degree, a combination of relevant education and experience may be accepted. Experience must include at least 5 yearsβ progressive leadership roles in Revenue Cycle required.

Excellent organizational, communication, and interpersonal skills.

Proficiency with electronic health records (EHR), CRM platforms, and Microsoft Office Suite.

Solid understanding of end to end revenue cycle process.

Previous experience developing workflows.

Knowledge of medical terminology, anatomy, and physiology.

Must also have a focus on regulatory and billing requirements.

Ability to maintain confidentiality.

Strong understanding of HIPAA, patient privacy regulations, and telehealth workflows.

Negotiation skills to effectively deal with patients, finances, and securing payments.

Understanding of state and federal employment regulations.

Strong communications skills (written and oral) as well as demonstrate the ability to work effectively across departments.

Demonstrated proficiency with Microsoft office programs, communication, and collaboration tools in various operating systems.

Use of analytical tools (excel, pivot table, tableau, etc.) to problem solve and create solutions for revenue cycle workflows, billing, and payment issues.

Ability to work effectively under deadlines and self-manage multiple projects simultaneously.

Strong analytical, organizational, and time management skills.

Experience managing offshore employees.

Ability to thrive in high growth, fast-paced organization and 100% Remote based environment.

Must be able to remain in a stationary position 50% of the time.
