Role Description

We are seeking a Medical Virtual Assistant – Medical Scribe and Clinical Support to assist with patient outreach, visit preparation, documentation, and coordination of care. This role works closely with an in-person medical scribe, ensuring visits are fully prepped and clinical workflows run smoothly.

Key Responsibilities

• Patient Communication
  • Call patients to confirm appointments, gather required information, and provide visit-related instructions.
  • Follow up with patients regarding documents, lab requirements, and care coordination.
  • Communicate professionally and clearly using an American accent.
• Clinical Documentation & Preparation
  • Prepare and organize patient documents prior to visits.
  • Pre-load and prep visit notes in the EMR for provider review.
  • Ensure all relevant clinical information is available before the patient encounter.
• Visit Preparation & Coordination
  • Prep daily schedules and visits in advance to support efficient provider workflow.
  • Coordinate closely with the in-person medical scribe to ensure accurate and timely documentation.
  • Flag missing information, labs, or documentation before visits occur.
• Lab Orders
  • Order labs as directed by the provider.
  • Ensure lab orders are entered correctly and attached to the appropriate patient records.
  • Track lab status and follow up as needed.
• Systems & Compliance
  • Use eClinicalWorks (ECW) EMR for documentation, orders, and patient records.
  • Maintain HIPAA compliance and strict patient confidentiality at all times.

Qualifications

• Prior experience in a medical virtual assistant or clinical support role.
• Prior experience as a medical scribe or similar roles.
• Hands-on experience with eClinicalWorks (ECW).
• Strong understanding of clinical workflows and visit preparation.
• Clear spoken English with minimal to no accent.
• Excellent attention to detail and ability to follow instructions precisely.
• Strong communication and coordination skills.

Preferred Qualifications

• Experience working alongside medical scribes or providers.
• Experience as a medical Scribe.
• Familiarity with lab ordering processes.
• Experience supporting U.S.-based healthcare practices.
