Role Description
We are hiring a Clinical Medical Virtual Assistant (Athena EHR) for a U.S.-based healthcare provider dedicated to delivering patient-centered, high-quality care through efficient systems and modern technology. This role is ideal for licensed healthcare professionals (e.g., Registered Nurses, Pharmacists, or similar) who want to apply their clinical knowledge in a remote, non-bedside setting while working with a U.S. medical practice.
You will play a key role in supporting patient care behind the scenes, managing clinical communications, coordinating care, and ensuring timely follow-ups on labs, imaging, and prescriptions. The position focuses heavily on clinical inbox management, prior authorizations, and care coordination using Athena EHR.
Responsibilities

Manage the clinical inbox within Athena EHR, including patient messages and inquiries, test results and provider communications, and prescription refill requests.

Process prior authorizations and benefit verifications accurately and efficiently.

Perform follow-ups on lab and imaging results to ensure completion and proper documentation.

Handle and organize incoming faxes, ensuring accurate matching to patient charts.

Conduct outbound calls to patients when needed (follow-ups, clarifications, updates).

Maintain accurate and timely documentation in the EHR system.

Ensure all clinical tasks are completed promptly to support provider workflows and patient care.
Qualifications

Licensed healthcare professional (RN, Pharmacist, or similar) β required.

Previous experience as a Medical Virtual Assistant supporting a U.S.-based practice.

HIPAA Certified.

Hands-on experience with Athena EHR (required).

Strong understanding of U.S. healthcare systems and workflows.

Excellent English communication skills (written and verbal).

High attention to detail and ability to manage multiple clinical tasks efficiently.

Experience using RingCentral or similar VoIP systems.

Familiarity with insurance portals and payer requirements.

At least 1β2 years of relevant experience in:

Clinical inbox or message management.

Prior authorizations and benefit verification.

Lab and imaging follow-ups.
Requirements

Must be proficient in speaking and writing English very clearly.

Must have relevant work experience.

Be able to submit an NBI clearance and/or Local Police Clearance background check before onboarding (mandatory).

Must be available for video meetings with your camera on (when needed).
