Role Description

Our client, a mental health practice, is seeking a reliable and detail-oriented Virtual Medical Assistant to support front desk and administrative operations. The ideal candidate will have experience in healthcare administration, strong communication skills, and the ability to work effectively with sensitive patient populations, including individuals in mental health and addiction care. This role heavily involves administrative tasks, patient coordination, insurance verification, and communication.

Key Responsibilities

• Answer inbound phone calls and respond to patient inquiries professionally
• Manage SMS/text communication with patients
• Respond to emails and maintain communication workflows
• Confirm upcoming appointments and handle rescheduling
• Schedule patient appointments accurately
• Coordinate calendars and manage provider availability
• Verify insurance eligibility using EOBs
• Determine co-pays, deductibles, and coverage details
• Work within RCM tools to check benefits
• Administer pre-appointment assessments (e.g., PHQ-9)
• Ensure patient forms are completed prior to visits
• Maintain accurate patient records and documentation
• Manage inboxes and communication channels
• Support overall front-office workflows

Qualifications

• Prior experience as a Virtual Medical Assistant or in healthcare administration
• Strong understanding of insurance verification
• Strong understanding of EOB interpretation (co-pays, deductibles)
• Experience handling high-volume patient communication (calls, texts, emails)
• Excellent verbal and written English communication skills
• Strong organizational and multitasking abilities
• Ability to handle sensitive patient interactions with professionalism and empathy

Preferred Qualifications

• Experience in mental health or behavioral health environments (highly preferred)
• Familiarity with the following tools:
• Valant EMR
• Weave (phone/text platform)
• Valentree
• CareCloud
