Role Description
As an Administrative Manager at our firm, you oversee a team of Administrators who provide administrative support to our accounting, tax, and advisory teams and deliver high-quality, timely client deliverables. This role maintains SOPs, leads the annual systems roll-forward for admin-owned tools, and serves as the primary point of contact for tax admin staff and service line teams on processing and onboarding coordination.
We are a 100% virtual CPA firm, with our team located across the United States. As a real estate niche-focused firm, we serve Real Estate Investors, Syndicates, and Fund Managers. Our team has a passion for real estate and often owns investment properties themselves.

Areas of Responsibility

Team Leadership & People Management

Lead admin team meetings, 1:1s, and working sessions

Deliver structured feedback to Tax Admin direct reports twice per year (spring and fall review cycles)

Manage admin team capacity across busy and low seasons, including workload balancing and coverage planning

Provide oversight of admin team Slack channels, ensuring timely responses and appropriate escalation

Cross-Functional Coordination

Coordinate with service line directors on cross-team initiatives, including proposals, client onboarding, tax return delivery, and tax e-filing

Surface AI and automation opportunities to the in-house automations team, and lead testing and rollout of approved solutions with the admin team

Process Ownership

Own team execution of core processes: client onboarding, proposals, tax organizers, tax delivery, and e-filing

Maintain and update admin team SOPs so they stay current and usable

Provide feedback to service line leaders on cross-team process compliance

Systems & Vendor Management

Lead the end-of-year rollforward of admin-owned systems: align workflows, update SOPs, refresh communication templates, and review software settings ahead of the new tax year

Qualifications

Bachelor's degree from an accredited college or university (Preferred), or equivalent experience

3β5+ years in tax administration, tax operations, or a related accounting-firm operations role

1+ years of experience directly managing or leading a team

Hands-on experience with CCH required; experience with Soraban, SafeSend, Front, or ClickUp strongly preferred

Experience in a public accounting or tax firm environment strongly preferred

Strong written communication skills for SOP documentation and cross-team coordination
