Role Description
Our Client is seeking a detail-oriented and self-directed Staff Accountant to join their team in a fully remote capacity. This role sits at the operational core of the accounting function, taking full ownership of accounts payable, vendor management, and credit card reconciliations across a multi-entity portfolio. Reporting directly to the CFO, the successful candidate will ensure that financial data is processed with zero errors, supporting the monthly close process and property-level P&L reporting.
Key Responsibilities

Accounts Payable & Vendor Management:

Processes and codes all vendor invoices in QuickBooks Online (QBO), ensuring accurate entity, account, and class assignment.

Manages the weekly AP payment run (Checks, ACH, and online payments) and secures appropriate approvals.

Maintains up-to-date vendor records, including W-9s and payment terms, while proactively resolving discrepancies.

Produces and reconciles vendor aging reports to support optimal cash flow management.

Credit Card & Bank Reconciliation:

Categorizes and reconciles all company credit card transactions in QBO on a timely basis.

Matches receipts from cardholders and enforces documentation submission deadlines.

Identifies and flags unusual charges for CFO review and produces monthly spend summaries by property and department.

Month-End Close & Reporting:

Executes tasks on the monthly close checklist, ensuring bank and credit card reconciliations are complete across all active accounts.

Assists the CFO in producing monthly property-level P&Ls and other financial reports for ownership groups.

Maintains organized digital files and workpapers to support institutional reporting standards.

Supports annual 1099 preparation and year-end vendor compliance.
Qualifications

2+ years of accounting or bookkeeping experience, with a specific focus on Accounts Payable.

High proficiency in QuickBooks Online (QBO) is mandatory; must be genuinely comfortable navigating the platform.

Solid understanding of basic accounting principles (debits/credits, accruals, chart of accounts, and period close).

Proficiency in Microsoft Excel or Google Sheets for complex reporting and reconciliations.

Strong written English skills for professional correspondence with vendors and internal leadership.

High attention to detail and the organizational discipline to manage multiple entities simultaneously without errors.
Preferred Qualifications

Associate's or Bachelor's degree in Accounting or Finance.

Background in Hospitality, Property Management, or Real Estate.

Spanish language proficiency is a plus given the operational base in Puerto Rico.

Familiarity with Property Management Systems (Guesty, Stay'n Touch, etc.) is a plus.
