Role Description
The Manager, Estate Planning Service works in a team-centric environment to support the assistants and other Estate Planning group staff with high volume client interaction. The Manager is responsible for supporting estate planning strategists and Service Specialists with ushering clients through the estate planning process. The Manager must be organized and enjoy the challenges of contributing to a fast-paced legal team. Attention to detail, as well as excellent verbal and written communications skills, are a must. The Manager should be resourceful, proactive, and efficient when completing time-sensitive tasks and projects.
Essential Job Functions

Management:
-
Overseeing, supporting, and managing the team of service specialists to ensure they are performing pursuant to key metrics; as well as following best practices for group, client, and advisor interaction.

Managing service specialists, as assigned, through overseeing day-to-day tasks, training, assisting with time management, coaching, and mentoring.

Developing and building internal resources to assist the Estate Planning group with their tasks.

Handling all time off and time keeping responsibilities for the team of service specialists.

Recruiting, training, and onboarding new service specialists.
-
Leading regular service specialist meetings.

Client and Advisor Services:
-
Drafting various correspondence to wealth management teams and clients.
-
Following best practices for group, client, and advisor interaction.
-
General administrative tasks and other duties, as needed.
-
Supporting an estate planning strategist throughout the estate planning process; including acting as a primary point of contact for clients, managing correspondence with clients, administering calendar management for a strategist, scheduling meetings, and answering phones.

Supporting maintaining estate planning documents and estate planning reviews as a liaison with estate planning specialists, wealth management teams, and clients.

Maintaining client files, including preparing and finalizing notes for meetings.

Other duties, as assigned.
Qualifications

High school diploma or equivalent.
-
5 years experience in a legal setting, law firm or in-house, preferred.

Experience managing a team of individual contributors.

Outstanding work ethic with a self-starter attitude, ability to perform under pressure, meet deadlines, prioritize and deliver multiple tasks on time.

Outstanding communication and organizational skills.

Proficiency with MS Word, Excel, Adobe, and Outlook.

Able to maintain confidentiality with all matters.

Have a βcan-doβ positive attitude and enjoy being part of a team.

Ability to prioritize and multi-task in a busy environment.
Requirements
-
This professional role requires availability during standard business hours of Monday through Friday from 8AM to 5PM. At times, the role may have early or late hours to meet business tasks and deadlines for external and internal client needs.

All roles classified as non-exempt are required to record working time into the timekeeping system daily at the start and end of each workday plus a 30-minute unpaid lunch period.
