[Hiring] Loan Closing Administrator @Avivar Capital

Role Description

To respond to growing client interest in customized debt and equity investment funds, Avivar is creating Avivar Capital Fund Management, LLC (AFM). AFM will have two groups: Debt Capital Solutions and Equity Capital Solutions. The Loan Closing Administrator/Paralegal plays a critical role on Avivar's Debt Capital Solutions team by ensuring loans are closed and documented in alignment with Avivar's credit policies and guidelines. This position works closely with outside counsel to prepare legal documents, conduct due diligence, and confirm all conditions precedent are satisfied prior to funding.

This role also serves as a key communicator among stakeholders, informing borrowers about loan terms, coordinating with external legal counsel, and managing the closing process to ensure loans are completed efficiently and accurately. The individual serving this role must possess strong attention to detail, particularly in navigating complex federal and state regulations, as well as credit agreements, notes, guarantees, and collateral documentation.

Essential Functions

• Serve as the primary point of contact during loan documentation, closing, and initial disbursements, providing clear assistance and explanations to borrowers.
• Manage pre- and post-closing functions, including closing checklists, to ensure Counsel receives all required documentation.
• Prepare and/or review draft loan documents, legal descriptions, title reports, and insurance documentation to verify accuracy of terms and collateral information.
• Track and communicate transaction timelines with internal teams and external partners to ensure deadlines are met.
• Oversee internal hand-offs and transitions to ensure smooth movement of responsibilities post-closing.
• Maintain accurate, well-organized electronic loan files with complete audit trails of all documents.
• Stay current on Avivar's loan policies and protocols and apply them consistently throughout the closing process.
• Maintain and update loan tracking data in SalesForce in line with Avivar's data policies.
• Prepare reports and documentation to meet internal, external and investor compliance requirements.
• Contribute to special initiatives such as industry research, product development, process improvement, impact tracking, funding applications or policy analysis.
• Uphold and model Avivar's values of integrity, trust, excellence, and humility in all internal and external interactions.
• Collaborate across teams to support monitoring, compliance and reporting needs.

Qualifications

• Paralegal certificate, preferably with experience working as a real estate paralegal.
• Minimum of 3+ years of experience documenting commercial loans in a lending environment, ideally in community development, nonprofit community facilities, or affordable housing.
• Familiarity and experience with community real estate financing programs like New Market Tax Credits (NMTCs), Low Income Housing Tax Credits (LIHTCs), Historic Tax Credits (HTC), and Program Related Investments (PRIs).
• Experience and/or strong interest in CDFIs, impact investing and community and economic development.
• Exceptional written and oral communication skills.
• Effective communication skills for coordinating with borrowers, legal counsel, and internal teams.
• Strong attention to detail and accuracy in reviewing and preparing legal and collateral documentation.
• Proficient with Microsoft Excel, PowerPoint, Word, Outlook and SharePoint.
• Ability to think and work independently in a fast-paced, team-based environment with minimal supervision.
• Ability to take initiative and work proactively.
• Exceptional team player with a positive attitude and ability to collaborate effectively.
• Excellent problem solving and analytic abilities.
• Ability to multitask and prioritize projects.

Work Environment

Avivar is currently a virtual operation with frequent online meetings and remote offices. The full team aims to gather in-person once per year, with project teams gathering periodically at client meetings and industry conferences.

Position Type & Expected Hours of Work

This position is full-time, exempt. The position will report directly to the Managing Director, Debt Capital Solutions. The base salary range for this position is set at $64,000 to $82,000 annually, commensurate with experience and qualifications. Travel

The individual must be willing to travel, on average, one week per month, which may be more concentrated in certain seasons.
