Qualifications

3 to 5 years of experience in administration, compliance, or business support, preferably within a care provider setting

Experience recommending process improvements to enhance operational efficiency

Strong administrative and organizational skills

Excellent written and verbal English communication skills

Understanding of Home Instead's values, culture, and service standards

Ability to build and maintain positive relationships with candidates, colleagues, and stakeholders

Proficiency in Microsoft Office, Applicant Tracking Systems (ATS), and other business applications, with the ability to quickly learn new technologies

Strong organizational, prioritization, and time management skills, with the ability to work accurately under pressure

Requirements
-
Manage payroll and invoicing administration, including billing hours, expenses, timesheets, payroll queries, payslips, holiday calculations, and monthly processing deadlines

Process client invoices, reconcile bank statements, maintain accurate financial records, and respond to finance-related queries from clients, suppliers, and stakeholders

Support direct debit administration, aged debt follow-up, annual budgeting, monthly forecasting, and actual-versus-budget reporting

Prepare financial reports, KPI reports, variance analyses, and supporting data to enable informed business decisions

Recommend process improvements and perform other finance-related duties to support business operations

Review care records, daily notes, tasks, eMARs, care plans, scheduling reconciliations, and related documentation to ensure compliance and identify concerns

Support internal, external, CQC, and Franchise Standards audits by preparing evidence, reviewing documentation, maintaining indexed records, and tracking follow-up actions

Maintain accurate and up-to-date client files, ensuring documentation is complete, properly stored, and audit-ready

Report compliance concerns to Field Care Supervisors, the Operations Manager, the Accounts team, or other appropriate stakeholders

Provide recruitment administration support in compliance with legislation, regulatory requirements, Franchise Standards, and Home Instead policies

Coordinate with the office and line manager while performing recruitment-related administrative duties that support business operations

Manage Lumis activities, including training allocation, monitoring, reporting, expired tasks, reminders, and follow-ups with Care Professionals and management
-
Maintain Care Professional files and Microsoft 365 folders, ensuring documents are complete, current, properly stored, and followed up when missing or expired
-
Manage inboxes, alerts, unreconciled calls, and visit confirmations through completion, escalating issues when necessary

Support the Care Management team with training sessions, support visits, supervisions, appraisals, events, and daily office or team meetings
-
Handle incoming telephone calls, take messages, resolve routine queries, and direct calls to the appropriate contacts

Support local social media initiatives by creating engaging Canva materials and preparing summary reports for morning huddles and management reviews
