Role Description

We are seeking a dedicated and experienced Financial Virtual Assistant to support a thriving company in the plumbing, air conditioning, and electrical services industry. This fully remote position offers the opportunity to play a crucial role in managing daily financial operations, data integrity, and system workflows. The ideal candidate will seamlessly bridge the gap between field service operations and backend accounting, leveraging specialized industry software to ensure absolute accuracy and operational efficiency.

Key Responsibilities

• Accounts Payable: Oversee full-cycle AP processes, including field-vendor invoice verification, expense classification, and purchase order tracking.
• Accounts Receivable: Manage trade and residential AR duties, converting field jobs to finalized invoices, tracking payment statuses, and supporting collection efforts.
• Core Accounting Support: Perform daily financial data entry, assist with monthly bank and credit card reconciliations, and maintain pristine, audit-ready financial records.
• Payroll Administration: Support payroll workflows by auditing technician timesheets, tracking commission and bonus structures within ServiceTitan (CRM), and organizing accurate records.
• System Integration: Seamlessly manage workflows between ServiceTitan and QuickBooks Online, ensuring accurate batching, invoice syncing, and database reconciliation.
• Document Management: Maintain a secure, highly organized digital archiving system for all contracts, receipts, permits, and financial compliance documents.

Qualifications

• 3+ years of progressive professional experience in a finance administration, bookkeeping, or specialized accounting support role.
• Advanced command of the Microsoft Office Suite (specifically utilizing Excel pivot tables and formulas) and secure cloud storage tools.
• Exceptional attention to numerical detail, strong organizational skills, and the proven ability to work autonomously with highly sensitive financial data.
• Must have a dedicated, noise-free home office setup equipped with a reliable, high-speed internet connection and a backup power source.

Preferred Qualifications (Bonus)

• Bachelor’s degree in Accounting, Finance, or a closely related field.
• Proven, hands-on experience navigating a CRM (ServiceTitan) and QuickBooks Online.
• Prior experience working specifically within residential or commercial trade services (Plumbing, HVAC, or Electrical).
