Role Description

By managing financial records across multiple systems β including QuickBooks Online, Mariana Tek, Stripe, and Paychex β they provide essential support to ownership and help drive informed decision-making. With a focus on consistency, clarity, and trust, the Bookkeeper plays a critical role in sustaining a financially sound foundation for our growing, community-centered studio.
Key Responsibilities

Financial Management & Reconciliation

Own and manage QuickBooks Online (QBO) including all journal entries and account categorization

Enter and reconcile all bank transactions accurately and on time

Manage and reconcile credit card activity on a monthly basis

Perform monthly balance sheet account reconciliations with full documentation and supporting workpapers

Reconcile Stripe transactions and match deposits to revenue reports from Mariana Tek

Manage monthly loan account reconciliations

Reporting & Insights
-
Prepare and deliver a full Monthly Financial Statement Package including Balance Sheet, Income Statement, Trailing 12-Month Income Statement, and location-level breakdowns with visuals for C-Suite leadership

Flag and clearly explain variances, trends, or anomalies to management

Assist in cash flow reporting and forecasting

Develop and maintain budgets in collaboration with management

Prepare financials for investor packages and business planning as needed

Revenue & Subscription Allocation

Review and enter Mariana Tek revenue reports into QBO accurately and consistently
-
Allocate subscriptions across studio locations with accuracy and consistency
-
Track and categorize income from various sources including memberships, class packs, teacher training, events, and retail

Vendor & Expense Management
-
Process and schedule vendor payments in a timely manner

Track recurring subscriptions and ensure timely payment
-
Maintain organized digital records of all vendor invoices and payment history

Monitor expenses across categories and identify opportunities for efficiency

Payroll & Contractor Oversight
-
Prepare and enter payroll data into Paychex and QBO for timely processing
-
Track contractor payments and support 1099 reporting at year-end as needed

Ensure all compensation aligns with studio policies and class metrics

Special Projects & Compliance
-
Support audit requests and tax preparation in collaboration with CPA or external consultants
-
Assist with reporting for licensing, insurance, or sales tax filings as needed

Maintain organized financial records for internal and external reviews

Lead or assist with financial components of studio expansion, new programming, or pricing model changes
Qualifications
-
Proficient in QuickBooks Online and Excel
-
Familiarity with Mariana Tek or similar fitness or wellness CRM platforms is strongly preferred

Deep understanding of accounting principles, reconciliations, and general ledger management
-
Strong analytical skills and high attention to detail

Excellent organizational and time management skills

Clear communicator with the ability to explain financial concepts to non-finance team members

Discreet and professional in handling confidential business information

Flexible, responsive, and comfortable working in a growing, entrepreneurial environment
Requirements
-
3 or more years of full-charge bookkeeping experience β this is the foundation of the role
-
Demonstrated experience managing the full bookkeeping cycle independently, from data entry through financial statement preparation

Experience preparing financial statements, reconciliations, and supporting documentation
-
Prior experience with a service-based business; fitness, wellness, or studio experience is a plus
-
Comfortable working independently and delivering consistent results with minimal supervision

CPA license, required
