Role Description
US Job Finders is seeking a highly capable and independent Controller to oversee financial operations and HR administration for a growing Recruitment Process Outsourcing (RPO) company. This is a hands-on, decision-making role where you will own accounting operations, financial reporting, and administrative HR processes—while helping leadership make informed business decisions. This position is heavily accounting-focused, with HR responsibilities being primarily administrative and transitioning further out of scope as the company moves toward a PEO-based structure.
The ideal candidate understands how contracts, time tracking, and billing intersect, especially in a staffing or talent acquisition environment. You will own day-to-day accounting and HR administration for a ~20-person Recruitment Process Outsourcing (RPO) company. This role is approximately:

Qualifications
-
Bachelor’s degree in Accounting, Finance, Business, or related field
-
7+ years of accounting/finance experience
-
2–3+ years of HR administration or payroll experience
-
Strong understanding of GAAP, payroll, and benefits administration
-
Experience with accounting systems (e.g., QuickBooks) and PEO/payroll platforms
-
Proficiency with accounting software (QuickBooks/Quickbooks Time), spreadsheets, and PEO/payroll platform
-
Clear communication, organization, and problem-solving; comfortable in a lean, fast-moving company

Key Responsibilities

Manage accounts receivable, including:
-
Receiving and applying client payments
-
Tracking and following up on late payments
-
Manage accounts payable, including:
-
Paying vendor invoices
-
Processing employee reimbursements
-
Accruing expenses each month
-
Own client invoicing process, including:
-
Generating and sending invoices
-
Mapping and maintaining the invoicing process within the accounting system
-
Tracking hours worked and ensuring accurate client billing
-
Calculate and track:
-
Monthly sales commissions
-
Monthly client rebates
-
Leadership bonus payouts
-
Notify and coordinate client subscription renewals
-
Manage and renew company liability insurance annually
-
Prepare and post monthly journal entries
-
Reconcile all balance sheet accounts monthly
-
Reconcile bank statements and credit card statements
-
Prepare and deliver monthly financial statements:
-
Profit & Loss (P&L)

Balance Sheet

Cash Flow Statement
-
Monitor and report on financial performance vs. budget
-
Build and maintain the annual budget and analyze progress throughout the year

Prepare year-end financial data and supporting schedules for CPA tax filings

Prepare analysis reports as assigned

Manage payroll through the PEO, including:
-
Reviewing payroll timesheet inputs and changes
-
Validating accuracy before processing
-
Administer benefits: medical/dental/vision, life/disability, and retirement; manage open enrollment and renewals with the broker

Coordinate workers’ compensation audits and annual filings; keep Certificates of Insurance current
-
Manage new employee onboarding, including:
-
Preparing and collecting new hire paperwork
-
Complete new hire background checks
-
Coordinating setup with payroll/PEO and internal systems
-
Maintain accurate employee records and documentation
-
Maintain the employee handbook and policies; update for federal/state changes with the CPA/broker as needed

Protect confidential files
Operating Rhythm
-
Daily: inbox triage, AR/AP, invoicing, payroll updates
-
Weekly: financial reporting for dashboard, collections review, cash forecast update
-
Monthly: close books, bank/credit reconciliations, budget variance, financial reporting
-
Annually: budgeting, insurance renewals, tax prep with CPA
