Role Description
Ascension Business Solutions LLC is seeking reliable, coachable, and process-driven Virtual Assistants to join our growing team supporting U.S.-based healthcare and professional service clients. The Accounting Specialist (Accounts Receivable & Accounts Payable) is responsible for ensuring accurate financial transactions, maintaining records, and supporting day-to-day accounting operations. The ideal candidate has hands-on experience with QuickBooks and a strong understanding of accounting principles.

Key Responsibilities

Accounts Receivable (AR):
-
Generate and send invoices to clients in a timely manner

Monitor incoming payments and follow up on outstanding balances

Reconcile accounts and resolve billing discrepancies
-
Maintain accurate records of all receivables transactions
-
Accounts Payable (AP):
-
Process and verify vendor invoices and payments
-
Ensure timely payment of bills and expenses
-
Reconcile vendor statements and resolve discrepancies
-
Maintain organized records of payables and supporting documents
-
General Accounting:
-
Manage and maintain financial data using QuickBooks
-
Perform regular bank and account reconciliations
-
Assist in month-end and year-end closing processes
-
Prepare basic financial reports as needed
-
Ensure compliance with internal policies and accounting standards
Qualifications
-
Graduate of a 4-year course or a Bachelor’s degree
-
Excellent English communication skills (written and verbal)
-
Strong attention to detail, follow-through, and time management
-
Ability to work independently while following structured processes and SOPs
-
Familiarity with Google Workspace, Microsoft Office, Slack, and similar tools
-
Willing to work an 8-hour graveyard shift - PH Time, aligned with U.S. business hours

Stable internet connection (Minimum of 100MBPS for Download Speed; Minimum of 50MBPS for Upload speed) and reliable computer equipment (Minimum of Intel Core i5 or equivalent with minimum 8GBs of RAM) - With backup device.

Professional, coachable, and open to feedback and role reassignment as needed

Proven experience in Accounts Receivable and Accounts Payable

Hands-on experience with QuickBooks (required)

Strong understanding of basic accounting principles

High attention to detail and accuracy

Excellent organizational and time management skills

Proficient in Microsoft Excel or Google Sheets

Background in bookkeeping or general accounting

Experience working in a remote or outsourced environment
Key Deliverables

Accounts Payable (AP):

Invoice Processing: Vendor invoices are verified and recorded accurately

On-Time Payments: Bills are paid within agreed terms

Vendor Reconciliation: Discrepancies are identified and resolved
-
AP Aging Report: Updated tracking of outstanding payables
-
Documentation: Complete and organized invoice and payment records
-
Accounts Receivable (AR):
-
Timely Invoicing: Invoices are issued within defined timelines
-
Collections & Follow-ups: Regular follow-up on outstanding balances
-
Cash Application: Payments are accurately recorded and applied
-
AR Aging Report: Updated tracking of overdue accounts
-
Discrepancy Resolution: Billing issues resolved within target timelines
-
Shared / General Accounting Deliverables:
-
Reconciliations: Bank and account reconciliations completed regularly
-
Data Accuracy: Financial records are accurate and up to date (e.g., QuickBooks)
-
Month-End Close: Assigned tasks completed on time
-
Compliance: Proper documentation and adherence to financial policies
Training & Performance Expectations

All Virtual Assistants undergo structured onboarding and role-based training
-
Client-specific systems, workflows, and standards are taught during onboarding
-
Ongoing coaching, performance reviews, and feedback are part of the role
-
Success is measured by accuracy, reliability, communication, and adherence to process

Career & Compensation Growth
Team members who demonstrate consistent performance, reliability, and alignment with ABS standards may be eligible for compensation growth over time. Based on performance and role alignment, there is a strong potential to reach a monthly salary of up to ₱39,000 or more after one (1) year of continuous employment. Note: Salary growth is performance-based and not guaranteed.
