Role Description

The Canada Payroll Subject Matter Expert (SME) will serve as the primary expert on Canadian payroll regulations, compliance, and best practices. This role is responsible for guiding payroll processes, supporting client implementations, ensuring regulatory adherence, and optimizing payroll operations. The SME will collaborate with internal teams and external stakeholders to drive process improvements and provide expert support for payroll-related matters. Additionally, the SME will oversee payroll processing for Canada, ensuring accuracy and compliance with all regulations.

As part of the long-term model, the company aims to establish a centralized payroll processing hub to enhance efficiency and standardization across regions. The Canada SME will play a crucial role in supporting this transition, ensuring smooth knowledge transfer and alignment with global payroll strategies.

Roles & Responsibilities:

  • Oversee and execute end-to-end payroll processing for Canada, ensuring timely and accurate payroll runs.
  • Maintain compliance with federal and provincial labor laws, tax regulations, and reporting requirements.
  • Ensure proper calculations for statutory deductions, benefits, and remittances (e.g., CRA, Revenu QuĂ©bec).
  • Conduct payroll reconciliations, audits, and compliance checks.
  • Stay updated on legislative changes and implement necessary payroll adjustments.
  • Assist in onboarding and implementation of payroll solutions for Canadian clients.
  • Advise clients on payroll best practices, configuration, and process optimization.
  • Troubleshoot payroll issues, ensuring timely and accurate resolutions.
  • Work closely with internal teams (HR, Finance, Implementation) to align payroll processes with business needs.
  • Identify inefficiencies in payroll operations and implement best practices to enhance accuracy and efficiency.
  • Support payroll automation and system enhancements, collaborating with IT and product teams.
  • Develop and maintain payroll documentation, SOPs, and training materials.
  • Act as a trusted advisor for payroll-related inquiries from internal teams and clients.
  • Provide training sessions on Canadian payroll regulations and system usage.
  • Work closely with external partners, including payroll vendors and government agencies.

Qualifications

  • 8+ years of Canadian payroll experience, including in-house payroll processing and compliance.
  • Deep knowledge of Canadian payroll legislation, tax regulations, and employment standards.
  • Experience with payroll implementations, process optimization, and automation.
  • Strong analytical skills with the ability to resolve complex payroll issues.
  • Excellent communication skills, capable of explaining payroll concepts to various stakeholders.
  • Proficiency in payroll software (e.g., Ceridian, ADP, Workday) and Microsoft Excel.
  • PCP or CPM certification from the National Payroll Institute is preferred.

Working Model

This position is in the Local Country Team. Our payroll operations are supported by a collaborative working model that combines centralized and local expertise. The centralized teams are responsible for handling the main payroll processing, adhering to a standardized workflow across all regions. The local country teams provide training, guidance, and support to the centralized teams, while focusing on client-facing tasks. Local teams lead implementations, configure payroll engines, conduct final reviews and signoffs, manage local payroll submissions, and address client inquiries. Although the local teams hold senior positions and work closely with the centralized teams, the latter maintain their own standardized processes and do not report directly to the local teams. This approach ensures both efficiency and high-quality service delivery.
