Role Description

The Virtual Front Desk Operator is responsible for managing incoming calls at vet clinics, ensuring that clients receive the necessary assistance for their pets. This role involves:

• Answering calls and determining the needs of each caller quickly.
• Booking, confirming, and rescheduling appointments accurately in the clinic's practice management system.
• Asking quick questions to identify urgent symptoms and directing callers to emergency services when necessary.
• Following up on missed calls the same day to prevent loss of clients.
• Logging calls and messages in the practice management system for the clinical team.
• Flagging patterns such as complaints or scheduling gaps to the clinic.

Qualifications

• 1-5 years in customer-facing phone work (hospitality, dental or medical reception, salon coordination, etc.).
• Hands-on experience using a practice management system, dialer, and SMS tools.
• Fluent in English, both spoken and written.
• Reliable availability during the 10am-12pm and 4pm-6pm Central time windows, five days a week.
• Veterinary, medical, or dental front desk experience is a plus.

• Stable internet connection without interruptions during calls.
• Consistent attendance and punctuality for shifts.
• Ability to communicate issues proactively before they escalate.
• Follow-through on commitments without needing reminders.

Benefits

• Initial compensation of $1,000/month for the first 90 days, increasing to $1,500/month thereafter.
