Role Description

We are seeking a dependable, organized, and proactive Support Services Coordinator to assist with day-to-day support operations, administrative coordination, and client communication. The successful candidate will help keep support activities organized, ensure requests are followed through, maintain accurate documentation, and coordinate information between clients, team members, and relevant departments. This role is well suited to someone who is detail-oriented, professional, responsive, and comfortable managing multiple priorities in a remote work environment.

Key Responsibilities

• Support & Communication
  • Respond to customer, client, and internal inquiries through email, phone, and approved communication channels.
  • Provide clear, professional, and timely responses to routine questions and requests.
  • Receive, document, and track support requests.
  • Follow up on outstanding requests to ensure appropriate resolution.
  • Escalate complex or urgent matters to the appropriate department.
  • Maintain professional relationships with clients, customers, vendors, and team members.
  • Communicate status updates and important information as needed.
• Administrative Coordination
  • Coordinate daily administrative and support activities.
  • Schedule meetings, appointments, calls, and other business activities.
  • Maintain calendars and assist with scheduling changes.
  • Prepare correspondence, forms, reports, spreadsheets, and other business documents.
  • Organize digital files and maintain accurate records.
  • Enter, update, and verify information in company systems.
  • Assist with routine data-entry and documentation tasks.
  • Monitor deadlines and follow up on assigned action items.
  • Maintain organized records of completed and pending activities.
• Team & Operations Support
  • Coordinate information between departments and team members.
  • Assist with internal projects and operational assignments.
  • Help monitor workflows and identify outstanding tasks.
  • Support onboarding and administrative processes when required.
  • Assist with preparing materials for meetings and business activities.
  • Help maintain standard procedures and documentation.
  • Identify routine process issues and communicate them to management.
  • Contribute ideas that may improve efficiency, organization, and service delivery.
• Customer & Service Coordination
  • Maintain accurate records of customer interactions and service requests.
  • Assist with appointment and service coordination.
  • Monitor requests from initial submission through completion.
  • Provide appropriate follow-up after services or requests have been completed.
  • Ensure information is communicated accurately between the customer and relevant team members.
  • Handle customer information professionally and maintain appropriate confidentiality.

Qualifications

• High school diploma or equivalent required; additional education is a plus.
• Previous experience in customer support, administrative services, coordination, office operations, or a related field is preferred.
• Strong written and verbal communication skills.
• Excellent organizational and time-management abilities.
• Strong attention to detail and accuracy.
• Ability to prioritize tasks and manage competing deadlines.
• Comfortable working independently with minimal supervision.
• Ability to collaborate effectively with remote team members.
• Professional and courteous communication style.

• Ability to learn new software, systems, and procedures quickly.
