Role Description

At Job Duck, we are looking for an Intake and Scheduling Coordinator who is passionate about helping potential clients feel supported from their very first interaction. In this role, you will serve as a key point of contact, guiding prospective clients through the intake process, scheduling consultations, collecting payments, and maintaining consistent follow up. You will work closely with the legal team to ensure every lead receives timely attention and exceptional service. The ideal candidate is tech-savvy, highly communicative, trainable, and comfortable managing multiple conversations while maintaining a professional and compassionate approach.

• Monthly Compensation Range: From 1,142 to 1,220 USD

Responsibilities include, but are not limited to:

• Ensure accurate documentation of client interactions and next steps
• Track lead activity and intake progress within the CRM
• Maintain ongoing communication with prospective clients and inmates
• Send intake forms and required documentation
• Coordinate consultations and calls with correctional facilities
• Follow up with prospective clients after initial inquiries
• Process payments through LawPay
• Support the legal team with administrative and client service tasks
• Collect payments for consultations, case reviews, and representation agreements
• Schedule consultations and maintain attorney calendars
• Qualify incoming leads and evaluate potential client needs
• Perform receptionist and front line client intake duties

Qualifications

• 1 year of experience working as an intake specialist
• Lead qualification experience
• Excellent customer service skills
• Strong verbal and written communication in both English and Spanish
• Tech-savvy and adaptable
• Ability to learn new systems quickly
• Strong follow up and relationship building skills
• Scheduling and calendar management experience
• Payment collection experience
• Comfortable discussing services and payment options with prospective clients
• Attention to detail
• Organizational skills
• Professional phone etiquette
• Ability to multitask effectively
• Clio and LawPay experience preferred
• Clear and professional speaking voice

• Location and timezone: Remote, Eastern Standard Time (EST)
• Working Hours: Monday to Friday
• Expected call volume: Moderate (6-15 calls per day)

• CRM: Clio Grow, Clio Manage, Cadence Consult
• VOIP: RingCentral
• Email/Calendar: Google Workspace, Law Pay
• Work Shift: 8:00 AM - 5:00 PM [EST][EDT] (United States of America)
• Languages: English, Spanish
