Role Description

We are seeking a highly polished, confident, and well-spoken Executive Assistant with strong experience in luxury travel coordination and concierge-level services. This role supports a high-end client who expects exceptional communication, refined judgment, and seamless travel execution in niche luxury destinations (with strong focus on Italy and similar elite locations). This is not a platform-heavy role. We are looking for someone with strong common sense, excellent communication, and the ability to operate without rigid processes in place.

Qualifications

• Native-level English (spoken and written)
• Highly confident and well-spoken

• Excellent communication skills
• Experience booking complex international travel
• Understanding of luxury standards and expectations
• Ability to operate independently without structured systems

Requirements

• Luxury Travel Coordination
• Book high-end hotels, private villas, boutique properties
• Arrange exclusive dining reservations (Michelin-level preferred)
• Coordinate private transport (chauffeurs, yachts, private aviation)
• Manage multi-leg international itineraries
• Handle last-minute changes smoothly
• Niche Destination Expertise
• Experience booking luxury travel in Italy (Amalfi Coast, Lake Como, Tuscany, Rome, etc.)
• Ability to research and secure exclusive experiences
• Understanding of what high-end clientele expect
• Concierge-Level Support
• Existing hospitality network preferred (not mandatory)
• Ability to build relationships quickly if no network exists
• Strong negotiation and vendor coordination skills
• Discreet handling of VIP client needs

• Is calm, confident, and proactive
• Has worked as an EA supporting high-level clients
• Is comfortable being the “middle person” between client and service providers
• Can confidently represent the client externally
• Has strong cultural awareness and professional polish
• Can operate without a pre-built process

• Must be able to speak confidently and clearly.
• Must provide quick, concise updates to the team.
• Must summarize key information effectively.
• Strong written communication required.

Consulting / Network Strategy

• We are open to candidates who:
• Already have concierge networks (preferred)
• Or can consult and build relationships rapidly
• Can supply high-end vendor options when needed
• Can operate without reliance on specific platforms

Benefits

• $1,100 - $1,100 a month
• Full-time (40 hrs/week) aligned to Dubai time
• Typical schedule: 9am–5pm Dubai, with flexibility for occasional after-hours and limited weekend support when clients are traveling
