Role Description

The Customer Service & Dispatcher plays a critical role in the company's daily operations, ensuring all vendor-completed jobs are verified and documented each day. This role is both vendor and customer-facing and focuses on outbound calls, email confirmations, and accurate data entry into our systems. The right candidate will be detail-oriented, proactive, and an excellent communicator with clear, fluent English.

• Conduct outbound confirmation calls and follow-up emails with vendors to verify job completions daily.
• Obtain and upload before-and-after photos for junk removal jobs via Odoo (email ticketing system).
• Update job details, completion statuses, and supporting documentation in Docket (and eventually in our custom internal system).
• Monitor and manage assigned tickets tagged as “confirmation required,” ensuring timely follow-up and resolution.
• Communicate clearly and professionally with vendors and customers to gather missing information or clarify job details.
• Support miscellaneous vendor-related tasks as needed, such as onboarding vendors to new systems, collecting rate sheets, and maintaining tracking spreadsheets.
• Escalate any issues or incomplete confirmations to the Operations Director or relevant internal contacts.
• Identify, qualify and negotiate with vendors for Junk Removal and Dumpster Rental jobs.

Qualifications

• Excellent verbal and written English communication skills — neutral, clear, and professional tone is essential.
• Strong attention to detail and data accuracy.
• Ability to multitask and manage daily call and email volumes efficiently.
• Experience in customer service, vendor coordination, or administrative support.
• Comfortable working in a fast-paced, operations-driven environment.
• Reliable internet connection and a computer with a quality microphone and noise-canceling headset.
• Ability to handle escalations or resolve minor vendor issues independently.
• Experience communicating with customers and vendors.
• Experience negotiating rates.

Requirements

• Experience in dispatching, field service coordination, or logistics (Nice-to-Have).
• Familiarity with RingCentral or other CRM/ticketing tools (Nice-to-Have).
