Role Description

The Professional Office Assistant/Administrator position is a key position in our organization. This is a hub position that performs a multitude of tasks and is responsible for providing ongoing support to the management team. Responsibilities include:

• Act as the face of IndusPAD to monitor customers, visitors, vendors with contact information and directions.
• Support executive management team in day-to-day routines.
• Correspond/communicate with customers, tenants, vendors, and staff.
• Be a point person to work/communicate with our 3rd party HR team.
• Ability to perform basic AP/AR duties; QuickBooks experience a plus.
• Assist with billing, banking tasks, sending out payments, and responding to vendor invoices.
• Ensure prompt payments and resolve billing or payment discrepancies.
• Post payments, organize and file deposit receipts and invoices.
• Act as a point person for mail, UPS, FedEx.
• Organize and maintain all office and business-related documents such as vendor information, invoices, notices, letters, tenant correspondence, etc.
• Assist senior staff with some personal tasks.
• Preparation of reports or presentations as scheduled or requested.
• Assist with payroll and time sheet correlation.
• Arrange for business lunches or catering from time to time.
• Special projects/tasks will be assigned; this is a team role.

• High level organizational skills and a high degree of accuracy.
• Proficiency with Microsoft Office including Word, Excel, PowerPoint, and Outlook.
• Experience in QuickBooks or other accounting software.
• Ability to perform routine functions of various office equipment and systems.
• Strong ability to write in a cohesive, comprehensive manner; good language skills.
• Able to handle multiple tasks, detail-oriented, and can deliver on project timelines.
• Good interpersonal/communication skills and the ability to exchange information clearly and concisely.
• Maintain confidentiality as appropriate; discreet.
