Role Description

The Appointment Scheduler / Customer Service Representative is responsible for providing outstanding customer service while efficiently scheduling appointments, managing calendars, and ensuring a positive customer experience. This role requires excellent communication, organizational, and multitasking skills, along with the ability to resolve customer concerns professionally and maintain accurate records.

• Answer incoming phone calls, emails, and messages in a courteous and professional manner.
• Schedule, confirm, reschedule, and cancel appointments for all locations.
• Maintain accurate customer information and appointment records in the scheduling system.
• Provide customers with information about services, policies, and procedures.
• Respond to customer inquiries and resolve complaints promptly and professionally.
• Coordinate schedules with staff to maximize efficiency and minimize scheduling conflicts.
• Perform general administrative tasks such as filing, data entry, and record keeping.
• Collaborate with team members to ensure exceptional customer service and smooth daily operations.

Qualifications

• High school diploma or equivalent required.
• Previous experience in customer service, appointment scheduling, reception, or administrative support preferred.
• Excellent verbal and written communication skills.
• Strong organizational and time management abilities.
• Proficiency with computers, scheduling software, Microsoft Office, and basic office equipment.
• Ability to multitask in a fast-paced environment.
• Ability to work independently and as part of a team.
