Role Description

Ready to join in? We are seeking a full-time Appointment Coordinator to be based at our corporate office in Westchester, IL. This position is primarily responsible for:

• Working with patients/physicians/callers in a polite and helpful manner to book appointments.
• Entering demographic data, insurance information, and any other relevant information into the NextGen and Athena system.
• Rescheduling patient appointments when necessary and relaying messages to staff.
• Following up on patients who are missing necessary information.
• Answering telephone calls, screening calls, taking messages, and providing information.
• Maintaining and updating current information on physician’s schedules ensuring that patients are scheduled properly and appointments are confirmed.
• Supplementing office staff when requested and being receptive to additional assignments/projects as delegated by supervisor.
• Maintaining a positive demeanor with patients, peers, supervisors, and physicians, especially when receiving feedback or direction.
• Assisting staff members when necessary in a positive and professional manner to ensure the patients receive the utmost in care.
• Performing work with accuracy to minimize error correction by other staff members.
• Double checking data entry to ensure the correct information has been entered into the NextGen and Athena system.
• Organizing and prioritizing work to make sure projects are completed in a timely and efficient manner.
• Staying abreast of and complying with all state and federal laws including HIPAA, ADA, OSHA, and FLSA.
• Adapting to change in a positive and professional manner.
• Other duties as assigned.

Qualifications

• High school diploma or general education degree (GED).
• Call center experience is a plus.
• A minimum of one year work experience, preferably in a medical office setting.
