[Hiring] Product Compliance Coordinator @Penbrothers

Role Description

The Product Compliance Coordinator will keep product testing, factory inspections, and customer compliance requirements organized and on schedule. This person will coordinate work across product development, sourcing, quality, sales, suppliers, factories, testing laboratories, and inspection providers.

When adding a customer or product category, the coordinator will gather the applicable requirements, turn them into a practical checklist and timeline, and track each item through completion. The ideal candidate enjoys details, follows up consistently, and can turn complex requirements into a clear, repeatable workflow.

• Maintain a tracker for required tests, samples, inspections, documents, approvals, expiration dates, and launch deadlines.
• Coordinate testing with laboratories, including requests, sample submissions, results, final reports, and certificates.
• Work with internal teams and qualified compliance resources to identify product, customer, and market requirements. Escalate uncertain interpretations before testing or production decisions are made.
• Schedule and track factory inspections. Route findings to the right owners and follow corrective actions through closure.
• For new customers, gather vendor manuals, portal instructions, testing protocols, labeling and packaging rules, and approval steps. Build a customer-specific checklist and timeline.
• Submit and maintain records in customer or third-party portals, with clear version and approval history.
• Follow up on missing documents, failed tests, inspection findings, and approaching deadlines; escalate risks promptly.
• Improve templates, trackers, and procedures so the team can apply requirements consistently.

Qualifications

• Experience coordinating product testing, quality assurance, factory inspections, regulatory documentation, or customer compliance in consumer products, manufacturing, sourcing, or retail.
• Strong organization and follow-through across multiple products, partners, and deadlines.
• Accurate document control and confidence with spreadsheets and shared systems.
• Clear communication and the ability to turn detailed requirements into actionable steps.
• Good judgment about when to escalate a failed test, inspection finding, conflicting requirement, or shipment risk.
• Helpful experience: USA / North American Market Standards and Regulations; Children’s products or plush toys; home textiles, pillows, pet products, or craft materials; third-party laboratories and overseas factories; retailer compliance portals; or building compliance workflows.
