Role Description

We are seeking a highly dependable and proactive Virtual Personal Assistant to provide real-time support to a business owner. This role involves joining live calls to take dictation, assisting with communications while traveling, and helping to keep daily tasks and priorities organized. The ideal candidate is detail-oriented, responsive, and comfortable working in a fast-paced environment.

Schedule: Monday–Friday, 11:00 AM–8:00 PM; Saturday, 10:00 AM–2:00 PM (US Pacific Time)

Duties and Responsibilities

• Join live calls to take dictation and detailed notes (pricing, action items/next steps, or dates)
• Read emails, text messages, and other correspondence aloud during travel times, take dictation, and send replies out to customers/the office.
• Keep the owner organized by tracking to-dos and important follow-ups.
• Update and maintain spreadsheets, logs, and other admin files.
• Provide light admin support as needed (e.g., scheduling, reminders)
• Help to organize ideas regarding business growth that come up and the next steps needed to make it happen. Offering assistance where possible.
• Cold calling - call and build relationships with pool service techs and contractors, offering referral bonuses for customers they send our way for remodels.
• Maintain regular contact, following up every month or two to keep relationships active. Track all outreach on a shared spreadsheet.
• A rough script will be provided, but comfort with improvisation is important.

Qualifications

• Confident, proactive, and comfortable taking initiative
• Strong ability to follow directions and execute tasks accurately
• Positive, professional attitude
• Fluent in English, both written and spoken
• Fast and accurate typing skills
• Strong multitasking and organizational skills, with the ability to manage multiple priorities without letting tasks fall through the cracks
• Experience with English dictation, transcription, note-taking, or similar tasks
• Proficiency with Google Workspace (Gmail, Google Docs, Google Sheets, Google Calendar, etc.)
• Comfortable with cold calling; approximately 30% of the role will involve cold calling
• Available to work on Saturdays
• Must be based in Mexico
