Role Description

We have an exciting Cebu-based opportunity available for a Senior Virtual Assistant to work on day shifts. Work from home or the office – you choose!

• Handle inbound and outbound calls as the first point of contact for customers and technicians.
• Coordinate, schedule, and reschedule service jobs and technician calendars.
• Communicate with customers, electricians, subcontractors, and internal teams.
• Raise, update, and close jobs, variations, purchase orders, and invoices.
• Prepare jobs for invoicing and process invoices.
• Maintain service records, preventive maintenance documentation, and spreadsheets.
• Manage subcontractor licensing, insurance, and technician/contractor inductions.
• Follow company policies, procedures, and Health & Safety requirements.
• Comply with the Organization's Information Security Management System (ISMS), including all applicable information security policies, procedures, standards, and guidelines.
• Support the Customer Care Team Manager in ensuring smooth daily operations.

Qualifications

• 2+ years of experience in a similar scheduling, maintenance coordination, or service coordination role.
• Experience in project management or service industry coordination.
• Excellent verbal and written communication skills.
• Highly organised, reliable, proactive, and detail-oriented.
• Adaptable with good commercial awareness.
• Proficient in MS Office Suite and SimPRO or similar scheduling/job management software.
