Role Description

This role makes sure every donation raised on our platforms is reported accurately, reconciled to the penny and carried cleanly through to the charity it was meant for. You will own the operational engine behind campaign reporting, donor-advised fund (DAF) administration, Gift Aid data, tax receipts and charity onboarding admin.

Most of your time will be spent on Shamaazi. You will also support equivalent reporting, reconciliation and DAF operations for other group entities as priorities require. You will report to the Head of Commercial & Partnerships with a dotted line to the Head of Operations due to cross functional projects and workstreams.

What you will own

• Campaign reporting: Ensure reporting requirements are agreed and logged before launch, monitor data during the campaign, and produce accurate reports post-campaign.
• Reconciliation: Check that donations, payment records, and partner records match, and investigate discrepancies.
• Donor-advised fund operations: Prepare figures for DAF partners, track grants through to payment, and keep charities informed.
• Gift Aid and tax receipts: Prepare UK Gift Aid data for submission and manage international donor tax receipts.
• Charity onboarding: Handle admin for new charities, including document collection and initial checks.
• Process improvement: Maintain accurate trackers and processes, improving them after each campaign.
• Payment disputes: Manage payment disputes, ensuring timely reviews and responses.

What success looks like

• Every campaign has its reporting requirements agreed and logged before launch.
• Final reports reach DAF partners and charities within the agreed cycle, first time, without rework.
• Donations, Stripe payouts, and DAF records reconcile, with every exception explained and closed.
• DAF partners receive complete submission packs and can approve grants without chasing for information.
• Charities know what they are receiving and when, and queries are answered before they escalate.
• Gift Aid files and tax receipts are delivered on or before every regional deadline.
• The trackers, logs, and SOPs are current enough that anyone in the team could pick up the process.

How performance is measured

• Core focus: accuracy, timeliness, and completeness.
• Reports delivered on time and accurate first time.
• Donations and payments fully reconciled, with any issues resolved quickly.
• Grants tracked through to payment without delays caused by missing information.
• Gift Aid and tax receipt deadlines met.
• New charities onboarded within target timeframes.
• Processes documented and up to date.

Qualifications

• At least 2-3 years in revenue operations, finance operations, payments operations, grants administration or a similar data-heavy operational role.
• Strong spreadsheet skills, including lookups, pivots, and reconciling large datasets.
• Experience reconciling transactions against payment processor or bank records.
• Experience producing recurring reports for external stakeholders to a deadline.
• Excellent written English and confidence communicating with external partners.
• Ability to work reliably during UK core hours, with extra availability around peak campaign periods.

Highly desirable

• Working knowledge of SQL, or experience with a BI tool such as Metabase.
• Experience with Stripe or another online payments platform.
• Experience in the charity or fundraising sector, especially with UK Gift Aid, donor-advised funds or grant-making.
• Understanding of Ramadan and seasonal giving, including Zakat and Sadaqah.
• Experience with Notion, Linear or similar workflow and ticketing tools.
