Role Description

We are seeking a Proposal Coordinator for managing the end-to-end proposal generation process for commercial flooring projects. This role encompasses:

• Gathering takeoffs from estimating and cost data.
• Verifying scope details and validating pricing components.
• Compiling complete, accurate proposals.
• Routing completed proposals to the respective salesperson for final review and approval prior to formal submission.

Qualifications

• Minimum 3 to 5 years of professional experience in proposal writing, document coordination, or administrative project support (commercial flooring strongly preferred).
• Advanced command of digital document management, spreadsheet modeling (Excel/Google Sheets), and proposal formatting with exceptional attention to detail.
• Strong written and verbal English communication skills, with the ability to operate autonomously across international time zones and remote teams.
• A demonstrated commitment to building checklists, improving workflows, and creating structured, teachable systems.

Requirements

• Assemble complete, accurate commercial flooring proposals by consolidating pricing sheets, labor inputs, and project-specific scope details.
• Cross-reference proposal data against architectural plans, specifications, and vendor pricing sheets to ensure complete accuracy.
• Route all finalized proposals to the respective salesperson for final review and sign-off before any bid is submitted to a client.
• Meticulously document workflows, standard operating procedures (SOPs), and proposal templates to build a scalable operational blueprint, including training and onboarding a designated replacement.
• Coordinate closely with internal specialists, project managers, and sales teams to clarify scope ambiguities and maintain strict bidding deadlines.
• Demonstrate operational excellence and consistency to qualify for expanded responsibilities supporting additional entities across the company's flooring portfolio.
