[Hiring] Maintenance Coordinator @F45 Training - AWG

Role Description

Apex Wellness Group is hiring a Maintenance Coordinator (Remote) to manage day-to-day facility maintenance across multiple fitness studio locations. This role is responsible for handling maintenance requests, coordinating vendors, scheduling service visits, tracking job completion, and ensuring studios remain operational and well maintained. The Maintenance Coordinator will work directly with studio teams, external service providers, and internal leadership to resolve maintenance issues quickly and efficiently.

• Respond quickly to maintenance requests from studio leadership across all studio locations.
• Assess issues and source qualified vendors using approved vendor lists, Thumbtack, Google, or other appropriate platforms if necessary.
• Communicate directly with vendors, providing clear issue descriptions, photos/videos, studio address, and access instructions.
• Coordinate scheduling between vendors and studio teams to ensure proper site access and support during service visits.
• Track job progress and approve or escalate completed work based on quality and scope.
• Collect and maintain documentation of completed services, including before-and-after photos or videos.
• Review and submit vendor invoices for accuracy and timely processing.
• Order replacement equipment and supplies through approved sources through most cost-effective / approved vendors.

Qualifications

• Strong organizational and communication skills with the ability to manage multiple maintenance requests at once.
• Ability to prioritize urgent issues and coordinate solutions across different U.S. time zones.
• Experience coordinating vendors, contractors, or service providers.
• Basic understanding of facility maintenance, repair processes, or commercial equipment.
• Comfortable sourcing vendors, comparing quotes, and helping control maintenance costs.
• Proficiency with spreadsheets, email, and communication platforms.
• Detail-oriented with strong ownership and follow-through.
• Experience supporting multi-location operations, fitness, retail, hospitality, or property management environments preferred.

• Multiple maintenance priorities across different studio locations and U.S. time zones are managed confidently without issues falling through the cracks.
