Role Description

We are looking for a detail-oriented and organized Loan Coordinator with US mortgage experience to support the loan process from initial file setup through processing. The ideal candidate will have hands-on experience with mortgage file management, ordering third-party services, reviewing and organizing loan documentation, and keeping loan files and milestones up to date. This role requires strong attention to detail, excellent follow-through, and the ability to manage multiple loan files while ensuring all required documents and order-outs are completed accurately and on time.

Key Responsibilities

• Set up and maintain mortgage loan files accurately and efficiently.
• Review and organize loan documentation to ensure files are complete and properly documented.
• Complete required file setup notes and maintain accurate loan information.
• Monitor loan milestones and update files as they progress through the processing workflow.
• Move loan milestones to the appropriate processing stages as needed.
• Mark files ready for initial disclosure documents when requirements are met.
• Order and track required third-party services and documentation, including:
  • Title orders
  • WVOE (Written Verification of Employment)
  • VVOE (Verbal Verification of Employment)
  • Master insurance
  • Payoff statements
  • VOR (Verification of Rent)
  • Transcripts
  • Appraisals
  • Inspections
  • EOI (Evidence of Insurance)
  • RCE (Replacement Cost Estimate)
  • Invoices
• Follow up on outstanding orders to ensure timely completion.
• Review received documentation for accuracy and completeness and address discrepancies when necessary.
• Pull USPS information and flood certificates.
• Pull Demotech information as required.
• Complete and maintain file contacts.
• Complete insurance certificate snapshots.
• Complete required processing information for order-out screens.
• Assist with maintaining accurate and up-to-date loan documentation throughout processing.
• Manage and organize the loan coordinator's inbox and calendar.
• Monitor incoming requests, documents, and notifications.
• Prioritize tasks and follow up on outstanding items.
• Maintain accurate records and ensure important deadlines are not missed.
• Provide general administrative support to the mortgage team as needed.

Qualifications

• 2+ years of experience in the US mortgage industry, preferably in loan coordination, mortgage processing, or a similar role.
• Hands-on experience with mortgage loan file setup and order-outs is required.
• Experience ordering and tracking title, insurance, employment verification, payoff, appraisal, inspection, and other mortgage-related documents.
• Familiarity with the mortgage loan processing lifecycle.
• Strong attention to detail and organizational skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple loan files and competing priorities.
• Strong follow-through and ability to meet deadlines.
• Comfortable working independently in a remote environment.
• Experience with Encompass or other mortgage loan origination systems is preferred.
• Strong document management skills.
• Order-out and vendor coordination experience.
• Knowledge of mortgage terminology and processing requirements.
• Strong administrative and organizational skills.
• Proficiency with email, calendars, and other productivity tools.
