Qualifications

• High school diploma required; associate's or bachelor's degree in a related field preferred
• 3 to 5 years of experience in administrative coordination, Environmental Health and Safety (EHS) support, Industrial Hygiene (IH) support, or client service
• Strong organizational and time management skills with the ability to manage multiple priorities and meet recurring deadlines
• Proficiency in AI tools, SharePoint, Gateway, PSA, HubSpot, and other business systems, with the ability to quickly learn new technologies
• Strong written communication skills with the ability to produce clear, professional client-facing emails
• High attention to detail and accuracy when managing documentation, filing records, and reconciling invoices
• Ability to work independently, prioritize tasks, and consistently follow established processes

Requirements

• Daily Client Tracking & Testing Communication
• Send daily tracking and testing sheet emails to clients as the first task each morning
• Medical Evaluations Management
• Forward medical evaluation requests to the appropriate vendor upon receipt
• Submit and process corresponding invoices in PSA
• Track evaluation requests and follow up with vendors to ensure timely return of results
• Send completed evaluation results to clients
• File completed medical evaluation documents in SharePoint (SP) and Gateway
• Report Letter Management
• Upload and maintain IH team test report letters in SharePoint (SP) and Gateway, ensuring accurate and consistent filing
• Support Post-Issuance Actions (PIAs) for report letters after they have been filed
• Recurring Sampling Coordination
• Coordinate recurring sampling programs by sending reminder emails to clients and keeping scheduled sampling on track
• Carbon Monoxide (CO) Reporting Support
• Provide support for Carbon Monoxide (CO) reports as needed
• Prepare Federal CO reports independently as assigned
• Vendor Invoice Support (Future Responsibility)
• Assist with reviewing and approving Galson invoices by comparing invoiced amounts against costs recorded in HubSpot
