Qualifications

• High school diploma required; associate's or bachelor's degree in a related field preferred
• 3 to 5 years of experience in administrative coordination, Environmental Health and Safety (EHS) support, Industrial Hygiene (IH) support, or a client service role
• Strong organizational skills with the ability to manage multiple priorities, recurring tasks, and deadlines
• Proficiency in using AI tools, SharePoint, Gateway, PSA, HubSpot, and other business systems, with the ability to quickly learn new technologies
• Strong written communication skills for professional client-facing correspondence
• High attention to detail, particularly when managing documentation, records, and invoice reconciliation
• Ability to work independently, prioritize responsibilities, and consistently follow established processes

Requirements

• Daily Client Tracking & Testing Communication
• Send tracking and testing sheet emails to clients each morning as the first task of the day
• Medical Evaluations Management
• Forward medical evaluation requests to the appropriate vendors upon receipt
• Submit and process medical evaluation invoices in PSA
• Track medical evaluation requests and follow up to ensure timely receipt of vendor results
• Send completed medical evaluation results to clients
• File completed medical evaluation documentation in SharePoint (SP) and Gateway
• Report Letter Filing
• File Industrial Hygiene (IH) test report letters in SharePoint (SP) and Gateway, ensuring accurate and consistent filing
• Report Letter PIA Support
• Manage report letter Post-Issuance Actions (PIAs) after report letters have been filed in SharePoint (SP) and Gateway
• Recurring Sampling Coordination
• Coordinate recurring sampling programs by sending reminder emails to clients to keep scheduled sampling on track
• Carbon Monoxide (CO) Reporting Support
• Support Carbon Monoxide (CO) reporting activities as needed
• Complete Federal CO reports independently as assigned
• Vendor Invoice Support (Future Responsibility)
• Assist with approving Galson invoices by comparing invoiced amounts against costs recorded in HubSpot
