Role Description

The Grants Manager is a vital member of the Turtle Survival Alliance Development Team responsible for establishing and maintaining a pipeline and calendar of private and public funding opportunities from national and international sources that further Turtle Survival Alliance’s mission and goals and meet funder guidelines and criteria. Reporting to the Chief Development Officer and working closely with the Field Conservation Operations Manager, other program teams, Finance staff, and conservation partners, the Grants Manager will compile and submit funding proposals, monitor grants and contracts, maintain grant/contract files, and submit all required deliverables, including impact and financial reports. The person in this position will work collaboratively with development and program staff to manage institutional relationships, submit proposals, and report on outcomes. The Grants Manager will manage an assigned portfolio of institutional funders, with responsibilities and priorities established by the Chief Development Officer in coordination with other grants staff. This position requires strong research, editing, analysis, budgeting, and project management skills.

Responsibilities

  • Grants Calendar and Proposals:
    • Establish, maintain, and periodically update a multi-year funding opportunity pipeline and grants production, submission, and reporting schedule aligned with TSA’s program priorities and fundraising goals.
    • Conduct internal and external research to identify funding opportunities with foundations, governmental agencies, corporate, and other institutional funding organizations.
    • Assess eligibility, alignment with program priorities, funding potential, and staff capacity before recommending opportunities to consider to the CDO and program staff.
    • Lead proposal development and submission—preparing and organizing materials for proposals and submitting and monitoring grant applications in accordance with TSA’s review and approval procedures, including recording all relevant information in Salesforce.
    • Establish a production and review schedule for all proposals and reports, requesting staff input early and setting internal deadlines that allow adequate time for technical review, budget validation, revisions, and final approval before submission.
    • Provide regular updates to the CDO on proposal and reporting status, upcoming deadlines, outstanding decisions, and support needed. Flag potential delays early and recommend solutions.
    • Coordinate with program and Finance staff to ensure that proposal narratives, budgets, deliverables, and timelines are accurate, consistent, feasible, and approved before submission.
    • Maintain a library of grant support documents including resumes, bios, IRS forms, Board/staff lists, etc.
    • Ensure acknowledgement of funders via website, e-newsletter, and social media, as appropriate and in accordance with funder guidelines and requirements, and in coordination with Communications staff.
  • Grant/Contract Reporting and Deliverables:
    • Maintain grant compliance and reporting, including outcome measurement and grant budgets—with responsibility for meeting high standards of effectiveness, timeliness, and completeness.
    • Monitor and maintain funder reporting schedules and requirements.
    • Track progress toward organizational and programmatic outcomes and goals and work with program staff to monitor how each project or program meets proposal conditions and expectations.
    • Identify and promptly communicate material changes, implementation challenges, or potential compliance concerns to the CDO and appropriate program and Finance staff.
    • Work closely with Finance staff to monitor grant expenditures against approved budgets and funder requirements and prepare accurate financial reporting, including requesting reimbursements and drawdowns as needed.
    • Draft compelling progress reports and targeted program updates to funders that fully capture programmatic achievements.
    • Assemble all necessary supporting materials and documents including budget reports, outcome measurements, success stories, etc. to submit reports to funders.
    • Work closely with program and finance staff to request extensions and modifications of grants when necessary, obtaining required internal approvals before communicating changes or commitments to funders.
  • Grant/Contract Files and Record-Keeping:
    • Maintain complete, current records of past, present, and prospective funding sources, applications, awards, agreements, approved budgets, deadlines, reports, amendments, and invoicing in Salesforce and TSA’s designated shared files.
    • Document institutional funder engagement, including correspondence (electronic and hard copy), phone calls, site visits, meeting notes, etc.
  • Other:
    • Work constructively across departments, incorporate agreed revisions, and follow established supervisory direction and approval procedures.
    • Uphold the highest ethical and confidentiality standards in handling constituent personal information.
    • Participate in the continuous improvement and documentation of processes, policies, and procedures.
    • Ability to receive and incorporate constructive feedback, communicate proactively, and resolve questions or disagreements professionally.
    • Ability to work collaboratively and pursue agreed-upon priorities in a diverse team setting.
    • Ability and confidence to learn and adapt.
    • Perform other related duties as assigned.

Qualifications

  • Enthusiasm for the position and the mission of the organization.
  • Bachelor’s degree (or equivalent professional experience with nonprofit administration, grant writing/management, or fundraising).
  • 3+ years of experience in grant writing and management, including demonstrated success developing and securing institutional funding.
  • Experience developing complex proposals, multi-year budgets, measurable outcomes, and funder reports.
  • Experience with international conservation, environmental programs, or comparable international nonprofit work preferred.
  • Ability to plan, meet internal review and funder deadlines, and manage competing priorities without sacrificing quality.
  • Demonstrated organizational and time management skills managing multiple projects with varying priorities in a collaborative working environment.
  • Excellent verbal, written communication, and interpersonal skills.
  • Intermediate to expert skills in Microsoft Office (specifically Word, Excel, and PowerPoint).
  • Experience with donor development/CRM software, particularly Salesforce, a plus.
