[Hiring] Grant Portfolio Manager @Hispanic Access Foundation

3d ago - Hispanic Access Foundation is hiring a remote Grant Portfolio Manager. 💸 Salary: $75,000–$85,000 📍Location: USA

Role Description

The Grant Portfolio Manager is a full-time, exempt position responsible for managing a portfolio of forestry subawards, ensuring strong program performance, compliance with federal requirements, and high-quality technical assistance for grantees. This role oversees the full life cycle of grants, from agreement execution and monitoring to reporting and closeout, with a strong focus on supporting emerging or high-risk grantees that are new to federal funding. The Grant Portfolio Manager does not supervise staff and reports directly to the Forestry Program Director.

Responsibilities

  • Grant and Agreement Management
    • Manage subaward agreements in alignment with 2 CFR 200 Uniform Guidance and organizational policies.
    • Conduct risk-assessments, including financial risk analysis, due diligence, and verification of required documentation.
    • Support development and review of compliant budgets, scopes of work, and subaward modification packets.
    • Coordinate workflow with the Forestry Program Director, Finance, and Compliance Support Specialist to ensure timely execution of awards and smooth administrative processes.
  • Portfolio Oversight and Technical Assistance
    • Manage a portfolio of grantees and serve as the day-to-day point of contact for programmatic, reporting, and basic compliance inquiries.
    • Provide capacity-building technical assistance, particularly for community-based and faith-based organizations new to federal funding and cost-reimbursement processes.
    • Monitor project activities, benchmarks, and deliverables to ensure alignment with approved scopes of work.
    • Conduct initial reviews of progress reports, reimbursement requests, and financial documentation prior to submission for compliance and finance review.
    • Identify performance or compliance concerns early and escalate issues to the Forestry Program Director and Compliance Support Specialist as appropriate.
  • Compliance and Reporting
    • Ensure grantees follow subaward requirements and meet all reporting deadlines.
    • Collaborate with the Compliance Support Specialist by flagging potential compliance issues and implementing recommended corrective or risk-mitigation measures.
    • Prepare draft corrective action recommendations for Director approval when grantee performance issues arise.
    • Track project implementation progress, deliverables, and expenditures, maintaining accurate and up-to-date documentation for audit readiness.
    • Develop programmatic summaries, portfolio dashboards, and reporting materials for internal leadership, agency partners, and funders.
  • Relationship Building
    • Build and maintain strong, trust-based relationships with grantees, partner organizations, and community coalitions.
    • Coordinate closely with the Forestry Program Director to support strategic program goals and ensure strong grantee performance across the portfolio.
    • Work collaboratively across the organization—including finance, compliance, operations, and communications—to support program success and consistency of messaging.
    • Assist in planning and coordinating grantee meetings, webinars, training sessions, and site visits.

Qualifications

  • Bachelor's degree in a related field (e.g., nonprofit management, business, public administration, finance), or an equivalent combination of education and relevant experience.
  • 3+ years of experience in grant portfolio management, subaward monitoring, or federal grant administration.
  • Demonstrated experience with 2 CFR 200 (Uniform Guidance) and cost-reimbursement grant processes.
  • Experience working with organizations new to federal grants and providing technical assistance to high-risk grantees.
  • Demonstrated capacity-building mindset and ability to support grantees with varying levels of organizational capacity.
  • Excellent organizational, analytical, and project management skills with a high attention to detail.
  • Strong communication skills, including the ability to translate compliance requirements into accessible guidance.
  • Ability to work independently, manage multiple deadlines, and problem-solve in a fast-paced environment.
  • Experience with Salesforce or similar grant management databases preferred.
  • Must be bilingual in English and Spanish.
