As an Administrative Assistant, you will play a crucial role in supporting our administrative functions and contributing to the overall efficiency of our organization. This role provides an excellent opportunity to gain hands-on experience in various administrative tasks, develop organizational skills, and work in a professional environment. This position is ideal for an intern/recent graduate.

You will:
Office Support:
  • Assist in day-to-day office operations, including running errands, making calls, taking notes, managing emails, and handling general inquiries.
  • Maintain a clean and organized office environment.
  • Assist in the preparation and organization of documents, reports, and presentations.
Data Entry and Record Keeping:
  • Input and update data in various databases and systems.
  • Maintain accurate and organized records of important documents.
Scheduling, Coordination and Booking Travel:
  • Assist in scheduling appointments, meetings, and events.
  • Coordinate logistics for meetings, including room setup, catering, and technology requirements.
  • Booking travel (flights, transportation, meals, accommodations, etc.).
Communication:
  • Draft and edit correspondence, emails, and other documents as needed.
  • Assist in internal and external communication, ensuring accuracy and professionalism.
  • Taking the minutes and notes during meetings, preparing the official documents for such, distributing the minutes/notes and following up on action items.
Project Assistance:
  • Support ongoing projects by providing administrative assistance and coordination.
  • Assist in research and data collection for various projects.
Office Supplies and Inventory:
  • Monitor and replenish office supplies as needed.
  • Keep track of inventory and place orders when necessary.
Other Duties as Assigned:
Assist with additional tasks and projects as required to support the overall functioning of the office.

You have:
  • Currently enrolled in a relevant degree program (Business Administration, Office Management, etc.) or recent graduate.
  • Strong organizational and time-management skills.
  • Excellent communication skills, both written and verbal in English and Spanish.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Detail-oriented and able to multitask in a fast-paced environment.
  • Professional demeanor and the ability to handle confidential information with discretion.
