Role Description

The online psychology programs are designed to offer access to high-quality education both within and outside of California. Using state-of-the-art technology and a stellar faculty, the programs directly contribute to the University's mission of preparing students for lives of purpose, service, and leadership.

This role is responsible for managing workflows to meet deadlines and maintaining and updating business processes. The Enrollment Services Officer independently evaluates and manages a high volume of applications for the online psychology programs, assessing complex or nuanced applications. Additionally, the Enrollment Services Officer provides routine application funnel and forecast reports.

The Enrollment Services Officer maintains working knowledge of multiple data systems, including but not limited to PeopleSoft, Salesforce, data imaging systems, and the online application system, and uses those systems to support accurate documentation, reporting, and process oversight. The position coordinates applicant files, monitors admissions workflow and timelines, conducts audits of admissions and enrollment records, and communicates with internal and external partners to support timely admissions decisions, matriculation, and enrollment. The role works collaboratively with teams to continue training and knowledge of application policies, practices, and systems. The role also contributes recommendations for process improvements based on application review trends and operational needs.

Qualifications

  • Bachelor’s degree and 3 years of experience within admissions, recruitment, and marketing.
  • 1 year of experience in data entry, data gathering, report generation, data analysis, or related functions within an academic setting.
  • Strong attention to detail and critical-thinking skills with the ability to interpret nuanced, complex documentation containing extensive information fields.
  • Demonstrated success in process planning and workflow management, along with a proven commitment to excellent customer service and effective teamwork.
  • Ability to multitask effectively and communicate with a wide range of stakeholders in a professional, clear, and accurate manner.
  • Online communication platforms like Zoom, Google Hangouts, Webex, etc.

Requirements

  • Evaluate applications and determine admission eligibility.
  • Conduct a comprehensive review and evaluation of applications for the online psychology program, applying established admissions guidelines, admission criteria, and program-specific criteria to determine eligibility and recommended decisions.
  • Assess complex or nuanced applications, including international students, repeat applicants, duplicate submissions, and other special cases.
  • Identify when additional review is warranted and escalate applications to the Program Director or Manager with objective analysis and relevant context.
  • Monitor applicant trends and identify issues related to documentation, application quality, or system concerns, including suspicious or irregular submissions.
  • Oversee admissions decisions and maintain data integrity.
  • Maintain applicant and admissions records across relevant systems and ensure decisions are accurately documented as well as communicated and available for key constituents.
  • Generate and review reports and then conduct audits to monitor data integrity, identify discrepancies, and recommend corrective action as needed.
  • Process admitted students and respond to internal questions regarding application procedures and admission status.
  • Assess transcripts and supporting documentation.
  • Review academic transcripts and supporting materials to determine admission eligibility and classification in accordance with institutional and accreditation standards.
  • Analyze records for completeness and relevance, identify discrepancies or exceptions requiring further evaluation, and communicate with internal and external partners to obtain additional documentation or clarification as needed.
  • Manage application review workflow and coordinate decision timelines.
  • Coordinate the movement of applications through each review stage to support timely admissions decisions and adherence to deadlines.
  • Collaborate with team members and stakeholders to prioritize files, monitor progress, and resolve barriers affecting review timelines.
  • Advise leadership on applicant quality and admissions trends.
  • Provide the Manager with regular updates and informed observations regarding applicant quality, volume, conversion trends, and progress through the admissions funnel.
  • Collaborate with vendor partner on monthly information sessions for schedule, communications, and content.
  • Lead or co‑lead virtual information sessions for prospective applicants, requiring preparation of program‑specific presentations, coordination with program leadership, and delivery of accurate, policy‑aligned guidance.
  • Monitor admission decision communications in all systems, including Salesforce, PeopleSoft, Wavenet, and Etrieve.
  • Ensure communications follow expected timelines, reflect accurate notification dates in systems, and are recorded in the data archival system.
  • Audit that admission decisions are accurate and visible to vendor partners, enrollment team, internal department support teams, and prospective students in required systems.
  • Recommend improvements to admissions criteria and review processes.
  • Use application review notes and applicant trend analysis to recommend improvements to admissions criteria, workflows, and review practices in collaboration with leadership and team members.
  • Represent Enrollment Services at departmental and university events.
  • Participate in orientations, open houses, graduation, and related events, providing admissions-related support and representing Enrollment Services.
  • Perform other duties as assigned by the supervisor, particularly during periods of lower application‑review volume.
  • Uphold University mission through work performed.
