Role Description

Our Client is seeking an organized, proactive, and customer-focused Operations Coordinator to serve as the operational backbone of their mobile grooming services. This multi-faceted role spans customer service, route optimization, schedule management, and real-time conflict resolution. Rather than a passive call-taker, this professional functions as a crucial logistics manager—adept at building strong client rapport, maximizing fleet efficiency across daily routes, and solving real-time field challenges with professional composure and empathy.

Key Responsibilities

• Customer Service & Relationship Management:
  • Serves as the primary point of contact for prospective and existing clients by managing inbound calls, emails, and message inquiries.
  • Educates clients on available grooming packages, confidently recommends tailored services, and handles bookings from initial inquiry through appointment completion.
  • Delivers an exceptional, high-touch customer experience that reflects the brand's commitment to stress-free, professional pet care.
• Fleet Route Optimization & Schedule Logistics:
  • Designs, monitors, and optimizes daily grooming routes for mobile vans to minimize travel time between appointments and maximize groomer productivity.
  • Adjusts schedules dynamically in real time to accommodate unexpected delays, traffic changes, or client rescheduling requests while ensuring punctual arrivals.
  • Coordinates constantly with field groomers to support smooth daily transitions and maintain field operational efficiency.
• Data Management & Conflict Resolution:
  • Maintains precise, up-to-date customer files in the system, including detailed pet profiles, medical/grooming preferences, contact history, and service notes.
  • Proactively addresses client concerns and scheduling conflicts with empathy, speed, and professionalism.
  • Collaborates closely with field teams to resolve operational bottlenecks quickly, protecting both client satisfaction and team productivity.

Qualifications

• Required Qualifications (Non-Negotiable):
  • Outstanding written and verbal English communication skills, characterized by a warm, professional, and friendly phone demeanor.
  • Strong organizational aptitude with proven ability to manage complex schedules, prioritize tasks rapidly, and thrive in a fast-paced environment.
  • Demonstrated track record of resolving client complaints with empathy, patience, and sound judgment.
  • Meticulous habit of updating records, verifying appointment details, and double-checking route logistics to ensure error-free execution.
• Preferred/Nice to Have:
  • Prior experience in dispatch, logistics coordination, or route planning within a field services environment (e.g., home services, delivery, or mobile services).
  • Prior experience in customer support or scheduling within a US-based client services platform.
  • A natural love for pets and passion for the pet care industry.
